Job overview

We are looking to recruit a clerical and administrative support to join the Plastic Surgery Department at Derriford Hospital .  

To provide data collection for the purpose of audit and reporting the effectiveness of the services

To extract and collate data required for the mandatory collection of burns to external organisations.

Specifically data collection to comply with IBID mandatory collection.

Validation of audit data to ensure accuracy and completeness.   

Collate and present data for the burns MDT. 

To provide administrative support if required throughout the Plastic Surgery Department. 

***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

Main duties of the job

To provide clerical and administrative support in the appointed area within the Service Line ensuring strict compliance with Trust policies and procedures

To act as a key member of the clinical team collecting data for burns.

To advise and support the clinicians in the development of safe and effective burns and plastic reconstructive surgery care pathways by way of data collection and audit.

Detailed job description and main responsibilities

  • ·       To extract and collate audit data for burns and Plastic Surgery cancer services including data mandated by external organisations.

    ·       Enter data onto existing databases such as Microsoft and excel

    ·       Collect data from clinical areas by communication with health care professionals

    ·       Run reports from existing databases. These reports may be routine in nature or exceptional reports when requested by the manage.

    ·       Validate all data on request by manager or external bodies.

    ·       To extract and collate data from patient notes, tracing the notes correctly,

    ·       Assist with the reconfiguration and maintenance of local database as required

    ·       Prepare data for clinical audit meeting, weekly MDT and clinical governance.

    ·       Ensure effective communication with all members of the Plastic Surgery team and sarcoma team

    ·       Prioritise own workload and work without supervision.

    ·       Sort and deal with all correspondence, keeping a satisfactory record and filing system

    ·       Ensure effective communication with all members of the multi-disciplinary team.

    ·       Requirement to work at a VDU screen for at least 75% of the working day.

    ·       Sitting in a restricted position for long periods of time in overcrowded conditions.

    ·       Handle heavy sacks of case notes.

    ·       Required to cover for other colleagues during annual leave/sickness or peak workloads.

    ·       Access to Bluespier, maintain patient records

    ·       Work closely with the Trauma coordinator to ensure clear plans are agreed and actioned as required

    ·       Reception duties, arriving and departing patients, updating patient records making follow up appointments/ scheduling theatre dates, adding waiting lists.

    ·       Ensure a clear understanding is obtained surrounding data quality, data protection, case note handling and PiMS

Knowledge & Experience

Essential criteria
  • Demonstrable experience in dealing with databases
  • Networking , being able to work within the Trust confidently
Desirable criteria
  • Previous demonstrable clerical experience working with in the speciality of Plastic surgery

Qualifications

Essential criteria
  • NVQ level 3 in either business administration or related subject or equivalent demonstrable experience
Desirable criteria
  • Computer literate (ECDL) Microsoft systems qualification

Aptitude & Abilities

Essential criteria
  • Ability to communicate at all levels.
  • Tactfully communicate written and verbal information with patients, staff and carers with regards to appointments, admissions etc.
