Job overview

Applications are invited for a Senior Logistics Assistant to work in Clinical Engineering in Derriford Hospital.

The successful applicant will work to support the Logistics and Stock Manager and the Clinical Engineering Department.  This is a developmental role with future progression to a Band  4 Logistics Operator.

Applicants should have obtained 5 GCSE passes including Maths and English A-C (4-9). They will require advanced IT skills, including Office suite, email, internet, specialist software systems and able to manage, manipulate and report information.

Clinical Engineering is part of Healthcare Science and Technology based at Derriford Hospital. The Department employs 26 Technologists, 5 Administration Staff, 7 Support Workers and several Apprentices providing a management service for Medical Devices in University Hospitals Plymouth NHS Trust, the Plymouth and Cornwall Community Healthcare organisations and other healthcare providers. The Department is also responsible for providing a Medical Equipment Library service.

Main duties of the job

The post holder provides specialised logistics support under the direction of the Senior Logistics Lead.

The post holder will require the ability to prioritise demands, accommodate unplanned events and work without direct supervision.

The post holder needs to be able to achieve a high level of accuracy in numerical, word documents and Excel.

The post holder must always maintain professionalism, often in difficult or pressured environments.

The post holder will be involved in stock handling, raising orders, deliveries, chasing orders and assisting fully in the wider Teams functions.

Post holder will provide cover for essential roles performed by other member of the team including within our equipment processing room and returning medical devices to wards.

Detailed job description and main responsibilities

  • Reports to the Senior Logistics Lead.
  • Provides ordering support for the department as required.
  • Refers urgent ordering requests to the relevant stakeholders.
  • Chases overdue orders with suppliers and updates spreadsheet and database.
  • To build repour with suppliers and to make sure that we have an effective way of communications.
  • Liaises with users, finance, procurement, and suppliers as appropriate.
  • Receipting of orders and closing discrepancies.
  • Uses judgement to prioritise workload and seeks guidance when needed.
  • Ensures facilities are kept clear and well-ordered and equipment storage areas are kept in a tidy and safe condition.
  •  Works in a safe manner and is mindful of manual handling issues when storing or transporting equipment, reporting any Health and Safety issues outside of their control to the Clinical Engineering management team.
  •  Refers untoward incidents to the Clinical Engineering management team.
  • Safely transports equipment, stores and items using Trust equipment and vehicles to other sites and services as required.  
  • .Works additional hours as required by the Head of Clinical Engineering to cover the  absence of other administration team members.

     Provides a full range of additional duties as required by the Team Leader or Senior Management.

     Understands, works, and complies with the Quality System, bringing to the attention of the Quality Manager, Team Leader, or Head of Clinical Engineering any non-compliance.

     Participates in team brief meetings with the Head of Clinical Engineering and other  technologists within Clinical Engineering.

     Takes appropriate precautions in the work environment, where there could be exposure to hazards of electrical, biological and chemical natures.

Knowledge & Experience

Essential criteria
  • Previous demonstrable experience in an logistics/retail role.
  • Demonstrable experience of delivering a wide range of administrative tasks to a high standard in a service focused environment.
Desirable criteria
  • Previous demonstrable experience in a healthcare setting.

Qualifications

Essential criteria
  • NVQ Level 3 in Business Administration or equivalent demonstrable experience
Desirable criteria
  • Computer literate (ECDL or equivalent)

Aptitude & Abilities

Essential criteria
  • Proven communication skills and ability to communicate effectively at all levels.
  • Proven organisation skills.
Desirable criteria
  • Willingness to train and develop further skills.
