Job overview
To provide administrative support to Tavistock Hospital and Tavistock Clinic. Key responsibilities include, the booking and prepping of outpatient clinics as well as providing efficient reception duties. The job holder will be required to work predominantly with Tavistock Hospital but will be required to cover the same level of work in Tavistock at the request of the Tavistock Admin Manager, when required to cover sickness, annual leave or times of operational pressures.
Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.
Main duties of the job
Responsible for the booking of pre-operative assessment and IPDC Theatre lists based at Tavistock Hospital for a variety of specialities.
Booking within the RTT pathways and principles as well as ensuring all patients meet the Tavistock Hospital safety criteria.
Supporting with the booking of outpatient appointments, prepping and requesting of patient case notes as well as covering our busy reception desk. Arriving and departing patients and support our MIU department with administrative duties.
The duties will be on a rotational basis to ensure we have a well knowledge and multiskilled team.

Detailed job description and main responsibilities
1. Manage the PTL selecting patients for admission based on clinical priority determined by the medical teams and chronological waiting list time.
2. Making sure the PTL is up to date with relevant p-codes and priority codes, if not then get that information from letters or directly from consultants in a timely manner.
3. To compile theatre lists for several specialities, creating an appropriate mix of patients using waiting list criteria.
4. To notify patients by letter, telephone or email of admission dates, pre-operative assessment, ensuring that they have the appropriate information on what drugs to stop taking as per Consultant’s request and instructions to follow prior to their admission.
5. Attending weekly local 8-4-2 meeting with representative from theatre to discuss patients, timings & utilisation.
6. Make the best use of theatre times/utilisation.
7. Ensuring any pre-assessment appointments are booked.
8. Be responsible for informing ward of patient’s admission and ensuring that all patients’ notes, and relevant MRSA/blood results are available for the ward staff.
9. Adding patients to Bluespier accurately and in good time for the Consultant’s to review their lists prior to the day of surgery.
10. Reorganise lists to accommodate short notice cancelations and working efficiently to create a pool of short notice patients, who can utilise cancellation slots. To maximise our overall utilisation.

Knowledge & Experience
Essential criteria
- Previous clerical demonstrable experience
- Previous demonstrable experience of waiting list management or management of complex data.
- Demonstrate ability to use all main software packages (including word and excel)
Desirable criteria
- Managing PTL’s
- Proven knowledge of RTT pathway & RTT codes
- Demonstrate use of hospital software such as Patient Management Sysytem
Qualifications
Essential criteria
- A-C grade GCSE in English and Maths or equivalent
- Basic proven knowledge of computerised systems
- Keyboard skills
- NVQ level 2 or equivalent
Desirable criteria
- NVQ level 3
