Maternity Staffing co ordinator

Job overview

Our Maternity Staffing co ordinator will produce and maintain Maternity Department staffing rotas to enable safe staffing and good oversight. They will maintain correct recording of absence and in liaison with Maternity team leaders to promote adherence to Trust Attendance Management Policy.

 

You will calculate and monitor annual leave within the Midwifery Directorate.Record and capture actual shifts on Allocate Health Roster to ensure the effective payroll and escalate staffing issues when necessary.

Main duties of the job

  • In line with Nursing and Midwifery rostering policy produce a roster for maternity for all bands of staff working within that area.
  • To ensure that all actuals are recorded weekly, including the addition of bank and agency staff.
  • Finalise shifts in line with payroll dates
  • Ensure all flexible working agreements are agreed in line with the Flexible Working Policy and approved appropriately.
  • Review all rotas with a nominated band 7 prior to signing off to ensure safe staffing.
  • Manage time balances in line with Nursing and Midwifery rostering policy.
  • Review staffing levels daily and arrange shift swaps and booking of bank/agency accordingly to ensure safe staffing levels are met
  • Calculate and record overtime and incentive payments as per Trust guidance

The maternity service provides an integrated model of care for around 1900 women residing in Torbay and South Devon, and from further afield. Most of the maternity care is provided by the 6 integrated midwifery teams, supported by the hospital-based services and the wider multi-disciplinary team.

 The staffing co-ordinator role is to maintain safe staffing levels by ensuring key performance indicators from the Trust are met on a regular basis. 

Detailed job description and main responsibilities

  • Accurate recording of all sickness absence on Allocate HealthRoster
  • Input Return to Work interview dates on Allocate HealthRoster
  • Liaison with team leaders to ensure prompt management of attendance within areas
  • Escalation to team leaders if formal monitoring or HR advice required.
  • Liaison with Staff Bank/agency and utilisation of text system to cover absences at short notice.
  • Ensure all medical certificates are recorded, copied and filed appropriately.
  • Monitor use of Bank staff
  • Appropriately record and monitor annual leave requirements in line with Trust policy and escalate any concerns.
  • To act as a point of contact for staff in relation to payroll and contract queries and liaise with HR and senior managers on their behalf.
  • Plan, organise and prioritise own workload daily.
  • Provide training to colleagues on relevant computer systems.
  • To take part in regular performance appraisal
  • To undertake any training required to maintain competency including mandatory training, i.e. Fire, Manual Handling

  • Min GCSE Grade A-C in Maths and English or equivalent
  • NVQ3 in administration or equivalent
  • training in mS Excel
