Job overview

We are looking for an enthusiastic and engaging individual who thrives on working in a busy and friendly community team in the role of Team Administrator.

This role is essential to supporting the day to day administrative tasks as well as liaison with other members of the team to deliver an efficient office system.  The successful candidate will work with existing administrative staff in providing comprehensive, effective and confidential support to the team. 

Excellent customer service skills together with a warm and welcoming manner is essential as you will be the first point of contact for young people, families and visitors to the service. 

The service is entering an exciting period of growth, with new investments and initiatives underway. This role will evolve alongside the development of our service; initially, you may support existing teams while new structures are implemented. All positions are pan-Dorset and will involve having a temporary base during the transitional phase. As our service develops, some roles may involve working flexibly within extended hours to reflect our commitment to being there at the moments that count most. This is more than just a role - it’s a chance to help shape a growing service and be part of something that really matters. We are looking for compassionate, adaptable and positive individuals who are inspired by the idea of making a genuine difference and who want to help shape the future of care in our community.

Main duties of the job

To liaise with young people and their families to support the clinical team to deliver person centred care. 

To support clinicians with their work including typing clinical letters and organising appointments and minuting meetings.  

To maintain records including computerised systems, databases and spreadsheets required by the Team e.g. referral information, waiting times, group therapy lists.

To organise and prioritise own routine and non-routine daily workload. To have input into developing, organising and implementing new office procedures and systems e.g. Developing/updating of spreadsheets, procedures for processing data and monitoring waiting times.

Employment in this post requires an Enhanced Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of.  Applicants who subscribe to the DBS update service are able to present a valid DBS certificate instead of requiring a new check.
