Job overview

The  Mid/West Dorset Locality (Bridport and Dorchester) Community Mental Health Teams are looking for a part time Team Secretary to aid in the provision of a flexible, comprehensive, effective and confidential administrative support service . 

You will ensure the provision of an effective and efficient secretarial and administrative support including dealing with telephone enquiries, relatives, carers, GPs and other agencies maintaining good communications between staff members of the Trust, GP Practices and outside representatives demonstrating discretion and confidentiality.

You should have a calm, approachable manner to deal with a busy working environment as you will be the first point of contact for people wishing to access the specialist service.

Main duties of the job

To record and action as a priority all referrals received on behalf of the team on the service user electronic records system as directed by the Clinical Team Leader.

To have access to team diaries for the purpose of planning and organising events and activities including the organisation of meetings and attend as required and take/transcribe formal minutes at meetings.  

To maintain accurate electronic records of service user's personal data including the scanning and uploading of all documents, and entering of appointments. 

To undertake audio and copy typing of medical letters, appointment letters, assessment letters, and reports ensuring maintenance of high quality, accuracy and adherence to  Trust standards  high quality.

Person specification

Knowledge, Skills and Training

Essential criteria
  • 5 GCSE's or equivalent including English and Maths
  • RSA Stage II typing, word processing or equivalent
  • Audio Typing
Desirable criteria
  • Shorthand qualification
  • Minute taking skills

Job Specific Experience

Essential criteria
  • Minimum of 2 years previous experience in an adminstrative/secretarial role
  • Demonstrable organisation skills
Desirable criteria
  • Previous experience in working within the NHS

Personal Qualities/Attributes

Essential criteria
  • Good written and verbal communication skills
  • Good team working skills

Information Technology/Resources

Essential criteria
  • Experience of using a range of computer software packages including word processing, spreadsheets, databases and/or presentation software
