Job overview
The role is to provide a comprehensive administrative support function to the team which includes:- incident reporting, clinical negligence and non-clinical injury claims, inquests, and disclosure of records to support the processes. In addition, there are a range of generic email accounts that need to be monitored and responded to in a timely manner.
This means liaising with a range of services and personnel at all levels throughout the Trust and external agencies.
Please be aware that this role is not currently eligible for visa sponsorship. Applicants should be aware of the requirement to independently obtain ongoing right to work in the UK beyond the expiry of any temporary or time-limited permissions. Evidence of this will need to be shared with the HR Team to ensure our records remain up to date.
Main duties of the job
- To support the efficient and effective risk management service to all areas of the Trust
- To provide an effective administrative service as part of the risk and claims process and preparing disclosures in accordance with risk management procedures.
- To provide an effective administrative service as part of the other risk management processes as required.
- To assist with the management of Partner Agency incidents and investigations
- Operate the Trust’s electronic risk management database and run information reports as required.
- To assist with the maintenance and housekeeping of the Risk Management paper and electronic records.
- Maintain up to date information in both electronic and hard copy records.
- Assist with the administration of inquests including the chasing of statements and the disclosure of medical records
- Taking phone calls and escalating appropriately
- Be able to work in line with Trust policies

Detailed job description and main responsibilities
• To provide an effective administrative service as part of the claims process, preparing disclosures, dealing with letters before action and information in accordance with risk management procedures.
• To provide an effective administrative service as part of the coroner process, gathering information in accordance with risk management procedures.
• To assist with the validation of all incidents reported and escalate as required following Risk Management policies
• To assist with the administration of Partner Agency incidents.
• Act as a Risk Management Administrator for preparation of Investigations as required – including the collation and presentation of detailed information and the preparation of papers for review meetings.
• To take accurate minutes where necessary. These will then have to be added to the correct records on the electronic Risk Management system.
• Operate the Trust’s electronic risk management database.
• To assist with the training of Trust staff in the use of the electronic risk management database.
• To assist with the maintenance and housekeeping of the Risk Management paper and electronic records.
• To answer the telephone within the office, any calls that cannot be dealt with should be escalated timely to the correct person, with a clear message being documented.
• Maintenance and copying/scanning of medical records both physical notes and electronic.
• Liaising and communicating with staff on all levels of the Trust.
• Monitoring several email accounts to ensure they are dealt with promptly
• Receiving visitors to the Risk office

Essential criteria
- Educated to level 4 or equivalent experience
- Competent Microsoft office skills e.g. Excel
Experience

- Experience of analysing complex data and presenting information

- Knowledge of NHS Resolution claims management process

- Ability to work as part of a team
- Demonstrate an understanding of confidentiality

Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
