Job overview

The role of an Admissions Officer is to arrange and manage the admission dates for patient having an elective procedure. This covers the end-to-end process from the point that a clinician decides to add a patient to a surgical waiting list, through to the patient being admitted to hospital.

Coming into hospital is a stressful time for the patient and their families, so a friendly, warm, and patient centred approach is at the heart of this role. It is a fast past job, so you will need to be organised with good communication skills.

The office is open 8am until 6pm, Monday to Friday. Having a balanced home and work life is important so we offer a flexible approach to working arrangements. 

The Access team are a diverse team covering a variety of administrative functions across the Trust as a whole. We offer full training and support both whilst you learn the role and once fully trained and working independently, within a supportive and approachable team. 

You will need to be committed to your training, an in exchange we can offer further opportunities for future training and development. 

Main duties of the job

The  Admissions Department is looking for a motivated, organised individual. You will work as part of this team to ensure that patients are admitted to hospital in a timely and efficient manner, making the process as smooth as possible for patients and clinicians.

The role of an Admissions Officer requires you to have your own area of responsibility following a successful probation period. During your first 6 months you will learn specialties within the Department. Full training will be given in order that you are fully competent in processes and work within policy & procedure guidelines.

The successful candidates must have up to date keyboard skills, experience of dealing with members of the public and recent clerical experience. A proven ability to be flexible in responding to changing situations is essential.

Education, Qualifications & Training

Essential criteria
  • Educated to GCSE level or equivalent
Desirable criteria
  • Level 3 NVQ in Administration or equivalent.

Knowledge & Experience

Essential criteria
  • Clerical experience within the last 3 years
  • Experience of working with computer systems, to include Microsoft Office in a working environment
  • Experience of setting up and maintaining systems
Desirable criteria
  • Experience of working in a healthcare related setting in the last 3 years

Skills & Abilities

Essential criteria
  • Evidence of keyboard skills
  • Evidence of ability to work on own initiative but also as part of a team
  • Evidence of effective communication skills with all members of the multi-disciplinary team
  • Evidence of ability to work within specified standards and timescales
  • Knowledge of PAS system and Booked Admissions or other database systems
  • An understanding of the meaning of confidentiality and the requirement for this to be maintained
  • Evidence of ability to respond quickly to changing priorities organising and prioritising own workload to meet deadlines
  • Evidence of ability to drive a team
  • Evidence of ability to share knowledge & skills with new members of the team and provide support on a day to day basis.
