Job overview

The postholder(s) will assist in the provision of patient care by providing comprehensive and effective administrative support for the clinical specialty.

Main duties of the job

The postholder will provide excellent administrative support for the clinical specialty to assist in the provision of patient care and will act as a point of contact of patients, relatives and other agencies and relaying information to and from the clinical specialty team.

Detailed job description and main responsibilities

The postholder(s) will assist in the provision of patient care by:

transcribing clinic letters and patient related documents using the organisation’s transcription systems and patient administration systems

answering telephone calls, taking action where appropriate and escalating more complex queries to relevant staff, timely and accurately

managing appointments and clinics through the organisation’s patient administration system, including booking appointments and monitoring scheduled outpatient and theatre activity against consultant and nursing staff availability

filing patient documentation within the patient’s healthcare record and uploading documents to the patient’s digital healthcare record when required

maintaining databases and spreadsheets using approved systems, including the patient results and investigations spreadsheet.

managing day to day tasks such as managing emails, printing clinic letters, photocopying and scanning documents.

undertaking other duties to that may be required to support admin services and/or other departments within the Trust.

Person specification

Qualifications and Experience

Essential criteria
  • GCSE Maths Grade C or above (or equivalent)
  • GCSE English Language Grade C or above (or equivalent)
  • Secretarial and administrative experience
  • Clerical work involving computerised systems
  • Use of digital audio transcription systems
  • Good working knowledge of Windows based and Microsoft office applications
  • Experience of dealing with members of the public
Desirable criteria
  • NVQ Level 2 or above in Business Administration (or equivalent)
  • Typing or word processing qualification
  • IT qualification
  • Medical terminology experience
  • Secretarial/administrative experience in a healthcare environment
  • Experience working within a multi-disciplinary team
  • Note taking experience
  • Knowledge of the NHS and the Trust's systems and structures
