Job overview

The Cellular Pathology Department at the Royal Sussex County Hospital is looking for a enthusiastic, well-motivated and organised individual to join their friendly secretarial and administrative team 

This is a part time post and the post holder will be based at Brighton.  Preferred working hours are 9am to 1pm however other hours would be considered.

 

 

Main duties of the job

To provide a comprehensive secretarial and administrative service to the Cellular Pathology department.  

Liaise closely with staff, service users and stakeholders, maintaining a pleasant, professional and helpful manner.

Be a point of contact by receiving telephone enquiries, taking accurate message, dealing with calls and enquiries in line with Trust policies and procedures and redirecting calls where appropriate

Communicate effectively using good written, verbal, email and telephone skills

Detailed job description and main responsibilities

  • Provide a comprehensive secretarial and administrative service to the Cellular Pathology department.
  • Participate in the typing and production of all Cellular Pathology reports generated by Consultant Histopathologists, registrars and Biomedical Scientists which includes the audio typing and copy typing of patient reports prior to consultant authorisation.
  • Ensure all cases requiring cancer genetics are sent off of daily.
  • Participate in word processing, filing, photocopying, spreadsheets, diary keeping where appropriate, Coroner’s invoices and the composition of letters, ensuring a high standard of accuracy and layout. 
  • Support the Lead BMS’s in specifically named aspects of the work
  • Organise own work schedule, in consultation with the other secretaries to provide an efficient secretarial and administrative support service.
  • Ensure cases required for Multidisciplinary Meetings are dealt with as a priority separately.
  • Fast and accurate typing and familiarity with Medical Terminology are essential.
  • Ensure that Cellular Pathology reports are distributed correctly as per protocols.
  • Maintain an up-to-date database of details of material that is sent away for review or tests at other hospitals, ensuring that this is booked back in when returned and that any reports are typed or updated.
  • Participate in collation of data for private patient invoicing.
  • Sort, distribute and prioritise incoming mail, using judgment and experience in deciding whether documents are to be passed on to Consultants and designated staff as appropriate.
  • Assist in the maintenance of an effective and efficient filing system of documents within the office.

Education and skills

Essential criteria
  • GCSE Grade C minimum in Maths and English
  • Demonstrable ability to perform fast and accurate typing including touch and audio
  • Demonstrable ability to use software programmes such as word and Excel
Desirable criteria
  • Currently working in NHS or other Healthcare setting
  • RSA3 or equivalent qualifications in secretarial related subjects
  • Demonstrable knowledge of medical terminology
  • Experience using Bambo, Careflow, Affinity, winpath
