Job overview

An exciting opportunity has arisen to join our Diabetes and Endocrinology Service. We are seeking an enthusiastic and motivated Administrator with a high attention to detail. 

The post holder will be responsible for providing administrative and clerical support for the Diabetes and Endocrine specialist nurses. The role includes completing and  updating reports, producing documents and materials for training and health  education. The post holder will also be required to work as part of the  Diabetes/Endocrine Nurse Specialist (DNS) team to deliver administrative support  including coding, clinical reception, appointments and electronic records. The post holder will be attached to the multi-disciplinary diabetes team (MDT) to  deliver the highest standards of administrative support for patients and staff.

Detailed job description and main responsibilities

·      To Co-ordinate the overall administration process and ensure that a responsive service is available and provided to diabetes and endocrine colleagues.

·      Manages own work, prioritises, meet deadlines. Works independently and remotely. Flexible in the workplace setting.

·      Provide support to colleagues, sharing knowledge and expertise in IT skills and production of materials , in order to provide the highest possible quality of service with the resources available

·      Has knowledge of Excel, work and PowerPoint to produce  databases reports

·      Ensure stocks of appropriate leaflets, displays, and notices are maintained ordering leaflets relevant to the service e.g. from Age UK, Diabetes UK.

·      Receive and respond to telephone calls from patients wishing to change or cancel their appointments, require home blood glucose testing monitoring diaries.

·      Deal with complaints in the first instance, and where appreciate refer to senior member of the team.

·      Collect, sort and redirect received post.  Open all incoming post unless marked to a specified member of staff.  Distribute post to appropriate staff members.  Take out-going post to collection point promptly each day.

·      Operate office equipment for the copying and scanning.

·      Type documents such as reports and letters as requested.

·      Make bookings or appointments for patients or staff members as required. Complete all clinic outcome coding information and ensure that clinics are fully reconciled.  This includes confirming attendance, completing outcome and inputting all the data required recorded on clinic attendance sheets.  Clinic management and templates along with validation.  Identify capacity issues and escalate.

·      Make new referrals from ward to nurse led clinics.

·      Cancel appointments and reschedule accordingly liaising with DSN/ENS.

·      Maintain and update all Type 1 diabetes, insulin pump and young adult databases.

·      Follow office procedures and practices in allocated tasks, which may include using medical record systems, appointment scheduling and the use of medical terminology.

·      Arrange meetings and update the nurses’ diaries accordingly ensuring sufficient time allowed.

·      Book and set up all training sessions for patient’s education i.e. pump upgrades and Libre education which includes the paperwork audit pathway documentation.

·      Pharmacy Prescription deliveries and signing off of prescriptions by consultants.

·      Ensure that orders are promptly raised and actions are processed on the        

·      Trust procurement system and receipted in on the system when goods are received.  Follow up on any outstanding items.

·      Maintain the Team’s shared drives.

Person specification

Experience

Essential criteria
  • 3 GCSE grade 4 or above (A-C grades) including English & Maths
  • Experience with Microsoft Office, Excel, Outlook
  • NVQ Level 2 In Business equivalent experience
  • Able to use own initiative and work unaided in a busy/demanding environment
Desirable criteria
  • Experience working with the various Trust electronic systems
  • Experience/knowledge of Outpatients processes and clinic changes
