Job overview

An exciting opportunity has arisen for a Lead Rota and Patient Access Coordinator to work within the Musculoskeletal Directorate, based at the Royal Sussex County Hospital in Brighton. 

We are seeking a capable and enthusiastic person to work in conjunction with the other Rota Co-ordinator to ensure the maintenance of a high-quality, effective and flexible centralised electronic rota for medical staff across sites, and ensure efficient functioning of the Directorate medical cover.

Excellent organisational and solid IT skills are essential to ensure the rota for medical staff is up to date, accurate and disseminated electronically. 

The successful candidate will ensure full on-call rota cover, escalating any uncovered shifts, and review the rotas and processes on an on-going basis.  You will use monitoring systems for the collection, recording and use of annual, sickness, educational and professional leave for medical staff.  You will also be involved in training and development on the rota and co-ordinating the cancellation of clinical duties/organising locum cover. 

Main duties of the job

The post holder will be accountable for the maintenance of high-quality, effective and flexible centralised electronic rota for medical staff across the University Hospital sites and for working to ensure efficient functioning of the Directorate medical cover.

Responsible for working with the Directorate Management Team/Clinical Services Managers and Lead Consultants, Medical HR and other admin staff as determined by the needs of the service including training and development on the rota and co-ordinating the cancellation of clinical duties/organising locum cover.

Detailed job description and main responsibilities

Provide technical support for rota management and engage in discussions regarding improvements and amendments.

To ensure the rota for medical staff is up to date, accurate and disseminated electronically and review the rotas and processes on an on-going basis. To establish systems for ease of access and planning.

To ensure full on-call rota cover, escalating any uncovered shifts. Set up systems as early warning signals where cover not provided and to ensure monitoring of fair internal cover in times of absence and offer advice and support to consultants on the production of the rota.

To use monitoring systems for the collection, recording and use of annual, sickness, educational and professional leave for medical staff.

Work with the Directorate Clinical Leads to ensure that all leave requests comply with leave policy and that sufficient cover exists within the department. Provide data to ensure the Trust Sickness and Absence Reporting policy for consultants and registrars is followed and complied with.

This role is a key part of the Department’s management team, working towards the achievement of key patient access targets across the Directorate.

Person specification

Qualifications and Experience

Essential criteria
  • GCSEs (A-C) or equivalent, including English and Maths.
  • Good skills in the use of Excel and developing monitoring systems
  • Proven ability of managing a high-volume caseload and working under pressure.
  • Proven ability of formulating rotas
  • Demonstrable good understanding of the NHS and current policy
Desirable criteria
  • Proven experience with working with medical staff and negotiating.
