Job overview

We are looking for an enthusiastic and motivated person to provide efficient clerical support to our Dermatology Administration Team. We are looking to recruit someone who can work well both within a team and unsupervised.

Attention to detail is essential as you will be dealing with repetition where accuracy is key.  You will need to be IT competent and have experience with a variety of software.

 

NHS experience and medical terminology would be advantageous, though not essential as full training will be given to the right person.

Main duties of the job

·         General Administration: Handle routine administrative tasks, including answering phone calls, responding to voicemails messages and addressing inquiries within an appropriate time frame.

·         Appointment Management: Book and cancel patient appointments accurately and efficiently

·         Electronic Filing: maintain accurate electronic filing of patient records and documentation

·         Typing clinic letters, sending to appropriate parties in priority order.

Detailed job description and main responsibilities

·         Answer Telephone and email queries in a timely and courteous manner, ensuring queries are responded to efficiently. 

·         Manage incoming paper communications and action accordingly. 

·         To handle difficult situations in a calm and professional manner

·         Liaising with clinicians, specialist nurses and other members of the administration teams to ensure patient care is delivered to the highest standard.

·         To coordinate and liaise with other team members to ensure that cover arrangements for annual leave and sickness is facilitated by working as a team.

·         Escalating potential breach patients to senior management, according to Trust guidelines and policy.

 

 

 

 

Service Delivery and Improvement

 

·         To manage and prioritise own workload and be able to work independently.

·         Monitor pathology, biopsy results through ICE/Affinity and present to clinicians and nursing staff. Inputting data to relevant spreadsheets.

·         Ensure clinics are fully utilised and booking appointments in the appropriate slots/template.

·         Escalate any departmental concerns or operational issues that prevent service delivery to the line manager.

 

People Management and Development

 

·         Attend appropriate training to fulfil role.

·         Meeting contractual obligations to comply with mandatory training.

·         Manage and prioritise own workload and be able to work independently

·         To participate in the promotion of a positive learning environment and to act as a role model at all times.

 

Patient Care Delivery

 

·         Dealing with enquiries and issues escalated to them in an efficient, polite and courteous manner, providing a caring, compassionate, helpful and understanding service to patients, staff and the general public, in line with Trust Values.

·         Ensure patient results for the attention of Clinicians and specialist nurses are processed in a timely and efficient manner.

·         Maintain confidentiality in all aspects of the role including claims and complaints.

·         Ensure that patient contact details are correct on referrals and contact GP surgeries when necessary to obtain more up to date or additional details.

 

Learning and Development

 

·         Attend mandatory training updates as required.

·         Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process.

·         Achieve and demonstrate agreed standards of personal and professional development within agreed timescales.

·         Identify own learning needs and jointly plan training requirements with your line manager

·         Participate in the Trust’s appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
