Job overview

To provide administrative services to the Clinical Governance Lead.

To provide comprehensive administrative support within the Divisional Governance Team.

Careful use of Trust systems both manual and electronic, to ensure accuracy of data.  Store and share information in accordance with department protocols, Trust Information Governance Policy and Data Protection Legislation

Use of specialist systems including DATIX, IFIT, e-Searcher, Evolve, Therefore and others as required.  Training will be provided if required.

Use of Microsoft Office applications.

Main duties of the job

The post-holder will be required to work independently using knowledge and judgement to prioritise incoming requests to meet agreed time frames.

Answer telephone and email queries in relation to Governance.

Provide expertise in relation to the day to day management of patient safety incidents, input of associated data and maintenance of specialist electronic databases.

Assist with the provision of robust systems to ensure the accurate recording of complex and sensitive meeting discussions, ensuring documents are approved and uploaded in accordance with recognised Trust processes.

To facilitate the gathering, analysing and presentation of clinical information and data on processes, performance and outcomes to demonstrate compliance.

To contribute to continuous quality improvement by providing support across the Division.

Support manager by undertaking projects / audits.

To provide administrative support to the Operations Manager with regard to Health& Safety

To provide administrative support to the Infection, Prevention and Control (IPC) lead

Qualifications

Essential criteria
  • GCSE English & Maths Grade 4 (C) or equivalent
  • NVQ 3 / 4 Administration / Business Management qualification or equivalent level of knowledge and experience
Desirable criteria
  • Audio typing
  • ECDL or alterative IT qualification

Experience

Essential criteria
  • Experience of administration work in the NHS or similar busy environment
  • Use of databases, extraction and analysis of data
  • Experience of analysing problems and identifying solutions
  • Production of detailed written reports, spreadsheets
  • Production of newsletters/posters
Desirable criteria
  • Experience of administration work in area similar to safeguarding, NHS governance
