Job overview

We are looking for enthusiastic, motivated and conscientious individuals with excellent interpersonal skills for this interesting and busy role.

As a member of the Elective Admissions  Worthing Team, you will be the first point of contact for patients to the department and responsible for the administration of the theatre waiting list for designated specialty areas.  You will be responsible for booking theatre procedures for our patients for designated specialty/specialties in line with clinical priority and waiting time targets.

 

Main duties of the job

We are looking for ...

  • A good team player with the ability to manage your own workload
  • Excellent telephone manner - *inbound and outbound patient telephone calls*
  • Computer competence
  • strong customer care
  • communication and team working skills are all required 
  • experience in a clinical administration role is desirable. 
  • Full/Part time role 

You will also need to be able to balance tact and assertiveness, combined with the ability to work calmly and patiently within a team, in a sometimes stressful environment. 

You will have experience of working in a high volume patient/customer focused role.

Experience of working within the NHS is an advantage, including knowledge of PAS, however this is not essential and we welcome applications from candidates from outside of the NHS.

Detailed job description and main responsibilities

Answer the telephone in a timely and courteous manner, ensuring appointments made efficiently whilst dealing with the public in a professional and sensitive manner.
Liaise with Care Group Managers/Assistants, Consultants and Medical Secretaries to manage and monitor elective inpatient and day case waiting lists in accordance with guidelines and protocols.
Communicate with Theatre staff regarding the purchase or hire of specialised equipment and prostheses if required
Liaise with Care Group Managers, Information staff, Wards, Clinicians, Operating Theatres and other departments and supply information on future admissions to facilitate the scheduling of theatre lists, bed availability and forward planning in these areas.
Respond to telephone calls from patients and GPs regarding admission details, expected length of wait, procedures and pre-operative arrangements
Communicate with Patients face to face or by Phone regarding Pre-operative Assessment/Admission dates, Arrival location/ times and Anaesthetic Instructions.
Communicate with patients by phone to inform them of last minute cancellation of admission or clinical appointments
Deal with enquiries in an efficient, polite and courteous manner, providing a caring, compassionate, helpful and understanding service to patients, staff and the general public.
Take urgent action on complaints from PALS, being pro-active to minimise the risk of them becoming more formal and seeking advise where necessary.

Worked in Admin role within NHS/Care industry

Essential criteria
  • GCSE C or above in English and Maths
  • Worked in Admin role within NHS/Care industry within last 2 years
  • knowledge of DOH targets
  • experience talking to public/patients/medical staff over telephone
  • Previous computer experience and the use of E-mail, Word and Excel
