Job overview

Pharmacy Senior ATO/Storekeeper, to support the Receipt & Distribution / Bulk & Stores Manager, Dispensary Leads and Quality Assurance Lead in managing the Pharmacy storage areas,  stock control, quality assurance and supporting the Pharmacy Automation Lead to ensure the maintenance and smooth day to day operations of the Pharmacy service in UHSussex NHS Trust

Main duties of the job

We are looking for an enthusiastic, self-motivated person with good communication and development skills to undertake this essential post. The role will involve supporting the Receipt & Distribution / Bulk and Stores Manager, Dispensary Leads and Quality Assurance Lead working within pharmacy cross site locations and with support staff for the  management, maintenance and future development of our storage areas, stock  and pharmacy stores at the Worthing General Hospital & St Richards Hospitals to include 7 day working and providing cover across all four hospitals in UHSussex NHS Trust, if required. The successful candidate will have duties in the dispensary, ward distribution & receipt, to include all Pharmacy storage areas and automation, supporting the Receipt & Distribution / Bulk&Stores Manager and Quality Assurance Manager in developing and maintaining policies and procedures to ensure a safe, efficient and contemporary service, managing the day to day storekeeping duties, areas and whilst maintaining MHRA guidelines and criteria for safe and secure receipt, storage and distribution.

 

You will hold or work towards an NVQ Level 2 Pharmacy Service certificate appropriate to your role with. Pharmacy Receipt & Distribution or equivalent experience desirable

Detailed job description and main responsibilities

Role Summary

 

·         Responsible for storage of all pharmaceuticals within the department, to include managing and supervising storage areas, expiry date checking and stock rotation

·         Responsible for training of pharmacy staff regarding storage areas, expiry date checking and stock rotation.

·         Responsible for reviewing the temperature control for specific storage areas, reporting to the Dispensary, Receipt / Bulk and Distribution / Stores, and Quality Assurance leads in all aspects of temperature management and excursions

·         Ensure that NHS Supplies/Sundries stock are receipted and stored away in respective areas and to support the administrative teams in managing the department paperwork being labelled, boxed and distributed to library services for storage.

·         Organise and be accountable for day-to-day work tasks in relation to the stock control (including Daily Stock Takes / KTAKE), storage of Pharmaceuticals (to include Automation) and supporting Stock Returns.

·         Provide high level supervision and assistance to the Pharmacy Assistant Technical Officers (ATOs) for the Dispensary, Receipt and Distribution services throughout the Trust by supporting stock management and Pharmacy Automation roll out.

·         Participate as an active member of the Pharmacy Team, providing line management in line with departmental procedures

·         Participate in on-going training and development, and maintain skills necessary for the role

Main Duties and Responsibilities

 

·         Work within own level of assessed competence and participate actively in training and assessment. Take personal responsibility for booking and participating in all statutory & mandatory training required for the role.

·         Work consistently in a way that minimises the risk of infection (to patients and self) and maintains health, safety and security in line with established protocols (eg. hand hygiene, use of Personal Protective Equipment).

·         At all times, maintain patient dignity, privacy and confidentiality.

·         Provide concise, legible and accurate data and records from own work (Input into Pharmacy computer system CMM and handwritten)

·         Provide supervision and support to Pharmacy staff as directed for stock management processes.

·         Provide day to day management in the storage of, and storage areas for, all pharmaceuticals within the Pharmacy footprint, securely storing stock into the allocated areas of shelving and Pharmacy automation, ensuring tidiness, correct labelling, rotation of stock to comply with product storage guidelines and oversee stock stored in appropriate temperature controlled areas, whilst presenting stock in such a way to enable efficient issues by Pharmacy staff                    

·         Provide supervision and assistance for Pharmacy ATOs to ensure the Daily Stock Takes are printed, checked and investigated to comply with Trust Audit requirements. Organise daily stock take counts and complete investigations of errors daily of CMM generated stock take sheets, considering the selected stocks expiry dates of products and any short-dated items on the stock take sheet.

·         Provide support and joint supervision with the Pharmacy ATOs responsible for departmental expiry date checking to ensure all pharmaceutical areas within the department are checked, reported and removed monthly to comply with Quality Assurance procedures

·         To provide support to the Pharmacy Admin team in relation to NHS Sundries ordered to be stored away and the systematic collection of Pharmacy paperwork to be sent to library services for storage

·         To supervise and assist ATOs emptying ward boxes and filter drugs for return, recycling & destruction whilst following COSHH regulations.

·         To aid in the training and maintenance of the Pharmacy automation processes and to liaise with Automation suppliers (if required), Dispensary Lead Technician and Receipt & Distribution / PIPAS Manager to ensure a continuation of replenishment and supply of fast-moving stocks and consumables from the receipt & distribution / bulk & supply area(s) into the Robot and any issues related to automation problem solving.

·         Supervise and assist where necessary answering telephone(s), emails and resolve stock or storage enquiries as appropriate.

·         Resolve irregular stock discrepancies by liaising with the Dispensary Team, Receipt & Distribution / Stores & Bulk Team and Manager, and query CMM discrepancies with a senior staff member.

·         Access online working temperature areas where Pharmacy stock is located following the procedure for Temperature Reading and after actions as necessary. Inform and assist the relevant senior staff of temperature excursions outside recommended limits.

Essential criteria
  • Basic Pharmacy Receipt & Distribution Experience
  • Demonstrated knowledge of Pharmacy Receipt, Storekeeping and Distribution
  • Experience of Pharmacy Storekeeping/supervising pharmacy staff/processes
  • NVQ Level 2 qualification in Pharmacy Services
  • Familiar with Quality Assurance process within UHSussex NHS Trust
Desirable criteria
  • Pharmacy Receipt & Distribution Experience, Minimum of 3 x GCSEs grade C or above, or equivalent in Maths, English Language.
  • Previous or existing Pharmacy ‘Storekeeping experience’
  • Able to communicate and develop stock management and working relationships
