Job overview

We are looking for 2 project support officers (PSO’s) who are enthusiastic and motivated to support the delivery of digital projects in preparation for, and as part of, the delivery of a groupwide EPR.  We are looking for people who are able to work on their own initiative with little supervision, and have experience of working in a project delivery environment.  NHS experience is preferred, but not essential for the right candidates.

Working within the PMO, engaging with stakeholders at all levels, the post holders will be supporting the delivery of the Trusts’ objectives and Digital Strategy. 

The post will be based at Castle Hill Hospital in Cottingham, and where needed, across any of Humber Health Partnership’s sites including Hull, Scunthorpe, Grimsby, Goole and associated community teams.  We offer hybrid working with part of the week working onsite and the rest working from home, subject to the demands of the project.

Main duties of the job

Communication

Excellent communication skills are required, the successful candidates will liaise with project stakeholders, the project team and suppliers at all levels, both verbally and in writing.

General Duties include (but are not limited to)

Undertaking project tasks, and delivering these to a high standard in the agreed timescales and clearly reporting progress of these tasks

Assisting the project manager with the

  • ·       development and maintenance of project plans,
  • ·       documentation and maintenance of project risks, issues, decisions
  • ·       project communications
  • ·       project reporting

Arranging project meetings, coordinating the assembly and distribution of meeting packs.

Producing accurate and timely meeting minutes, documenting actions, decisions, risks and issues in line with the Trust’s project management processes.

Act as point of contact for projects, dealing with queries, relaying messages, and forwarding queries/actions to the most appropriate person where needed.

Support the project managers to file and manage project documentation according to Trust governance processes.

Maintaining strong attention to detail.

Qualifications

Essential criteria
  • GCSE level English and Maths
  • Advanced ECDL or equivalent experience
Desirable criteria
  • Evidence of academic achievement to Diploma level or equivalent
  • PRINCE2 foundation, or equivalent
  • PMO qualification

Experience

Essential criteria
  • Experience of working within a project, IT, NHS operational, or Admin support environment
  • Proven experience of planning, reporting and file management
  • Experience of Microsoft Office products including Word, Excel, Teams, Outlook and Powerpoint
  • Proven ability to produce accurate meeting minutes, and capture accurate actions
Desirable criteria
  • Experience of project support within an NHS setting
  • Experience of using hospital systems, such as patient admin system, electronic patient record system, or clinical systems
  • Experience of working within multidisciplinary teams
  • Experience of using MS Project and Visio

Skills, Knowledge and Ability

Essential criteria
  • Excellent communication skills
  • Ability to communicate effectively using a variety of media
  • Ability to manage and co-ordinate multiple diaries within a changing environment
  • Ability to work unsupervised, plan and prioritise own work to meet deadlines
