Mid and South Essex NHS Foundation Trust is the only acute hospital provider in the Mid and South Essex Integrated Care System (ICS), which is a system of health and care partners working together for our local population.

Within Mid and South Essex there are 149 GP practices, operating from over 200 sites, forming 27 Primary Care Networks and one Ambulance Trust. There are also three main community and mental health service providers who work together through a community collaborative.

Make a Difference Every Day as an Outpatients Booking Clerk

Are you passionate about delivering outstanding patient care and being a vital part of someone’s healthcare journey? As an Outpatients Booking Clerk at Mid and South Essex NHS Foundation Trust, you’ll be one of the first friendly voices or faces our patients encounter — helping them feel informed, supported, and at ease.

In this essential role, you’ll handle patient queries with confidence and compassion, provide reassurance when it’s needed most, and ensure appointments and clinics are managed smoothly and efficiently. You'll use our booking systems to update and amend appointments while adhering to Trust policies and upholding the values we stand for.

Main duties of the job

Ensure targets are met with future appointments booked in receipt of referral

Ensure that the 18 week rule is monitored when appointments are rescheduled

Up-to-date knowledge of clinics and their protocols / templates for accurate booking

Cancel and/or restructure clinics, make template changes and ensure all are fully utilised

Understand the triage process within e-RS and enable bookings to Community or Secondary Care providers

Prioritise workload and escalate any relevant issues effectively

Report any lack in capacity that could cause the Trust to fail to meet National Targets

To Liaise with external providers regularly

Sensitively explain when appointments have been cancelled or changed and negotiate a new booking with patients

Deal with patient complaints / challenging conversations when necessary

Cashing up of clinics - – updating the relevant system with the outcomes of an appointment

Essential criteria
  • English, Maths qualifications
  • A Level or NVQ 3 qualification or equivalent experience

Experience

  • Experience working in a customer/patient focused environment
Desirable criteria
  • NHS experience

Knowledge

  • Good understanding of EPR, e-RS and PAS
  • Understanding of the 18- week RTT legislation
  • Understanding of Clinical pathways
  • Awareness of The Data Protection Act & Computer Misuse Act
