Job overview

An exciting opportunity has arisen within the Paediatric Outpatient Department at Broomfield Hospital to provide an effective and efficient reception service. We are looking for a hard-working and forward-thinking individual who is capable of prioritising workloads to ensure a smooth day-to-day running of the reception area.

You will be required to have a flexible attitude to work.  The ideal candidate will have previous reception or administrative experience in a fast-paced environment and will be able to demonstrate an ability to prioritise their workload whilst remaining calm and professional.

Main duties of the job

  • To provide an efficient reception and administrative service in Paediatric Outpatients Department

  • Opening of the reception area in the morning and ensuring a safe environment for patients.

  • Using the Lorenzo to book patients into clinic and record their clinic outcomes. 

  • To pick up any missing outcomes from the day before and adding them to Lorenzo

  • Deal with emails from the Multidisciplinary Team and action any requests.

  • Preparing clinic lists and clinic forms for the following days patients who are due to be seen in clinic.

  • Giving appropriate information on clinic running/routine to families.

  • Preparation of temporary case notes for nursing staff to undertake nurse assessment process.

  • Contribute to the conclusion of the clinic session by:
    Collecting/documenting outcome of each patient episode.
    Adhering to the “checkout process” in line with the Paediatric Outpatient operational system.

  • Prompt transfer of all request forms to relevant departments.

  • All patient related administration duties including booking follow-up patients who have face to face/telephone appointments and recording subsequent outcomes.

  • Closing the reception desk at the end of the day, locking away any confidential information and ensuring the waiting area is left tidy for the next day’s patient’s arrivals.
