Job overview

Joining an established administration team, the post holder will provide comprehensive, professional and effective administrative support. The post holder must display a considerable degree of initiative, possess good judgement and maintain a calm, friendly and efficient manner when dealing with staff, service users, colleagues and visitors.

The post holder will be required to work independently using initiative, and applying a high degree of confidentiality to all of their work, whilst ensuring clear communication with all services, teams and colleagues. 

Applicants will have previous administrative experience, including  excellent typing skills  including audio typing and working in a healthcare setting; experience of using IT systems like SystmOne or relevant IT Skills and be able to work on own their initiative with minimal supervision.

Main duties of the job

  • Providing  comprehensive administrative support for clinicians and medical staff eg; High quality production of patient records/correspondence using audio typing skills.
  • Specialist knowledge of a clinical service area or range of services supported by the Administration Support Team.
  • Answering queries, progress chasing, task-related problem solving and resolving issues for clinical/medical staff or patients and providing non-clinical advice or information to others.
  • Data inputting into clinical and administrative systems and ensuring data quality/accuracy.
  • Use of SystmOne.
  • Producing standard reports from databases.
  • Audio Typing

Detailed job description and main responsibilities

Providing comprehensive administrative support for clinicians and medical staff.  Typing of clinical letters.
Generic office based duties eg post in/out, photocopying, scanning.
Specialist knowledge of a clinical service area or range of services supported by the Administration Support Team.
Answering queries, progress chasing, task-related problem solving and resolving issues for clinical/medical staff or patients and providing non-clinical advice or information to others.

Producing high quality clinical letters/reports for patients and GPs.
Data inputting into clinical and administrative systems and ensuring data quality/accuracy.
SystmOne, Microsoft office.
Producing standard reports from databases
Responsible for following standard processes/procedures and contributes to service development through making suggestions at team meetings etc.
Responsible for ensuring sufficient levels of stationery and stock available within clinical areas and reporting to Team Leader.
Establishing effective relationships with external contacts and partnership agencies and ensuring Provide is represented as an outstanding organisation.
Providing cover for others within the Administration Support Team, including ad hoc requests to cover reception desks. Audio typing
Any other tasks as required that are commensurate with the role as delegated by Team Leader.
