Job overview

The Post Holder will work across two main areas: Health and Education, dedicating half of their time to each workstream.

Health Directorate: To provide a comprehensive and professional administrative support to the Provide Health Directorate including the Chief Executive of Provide Health and Group Chief Nurse and their Business Manager. This role will cover all aspects of secretarial, administrative, and organisational business support to the Health Directorate and its Senior Operational Team.

 Education: The Post Holder will co-ordinate the requirements for all learners being offered placements within Provide Health. The Post Holder will be the main point of contact in relation to practice placements for our partner Higher Education Providers (HEP), apprenticeship providers, Further Education (FE) Colleges and all routes into placement. This is a key role ensuring that the learners on all Provide sites are afforded the best possible practice experience, have access to IT systems and that there are robust procedures in place to support the induction and evaluation processes.

The Post Holder will coordinate all CPD applications, ensuring a robust tracker is in place and support with budget purchase order requirements. Overall, they will provide a comprehensive administration service to the Education Development and Practice Development team, ensuring a customer focused high-quality service is always provided.

Duties and Responsibilities include but are not limited to:

  • Workload and Diary Management 
  • Co-ordinating and facilitating meetings and events
  • Producing agendas, reports and papers
  • Taking and transcribing formal and informal minutes and distributing them as appropriate
  • Following up action plans
  • Transporting and setting up equipment and stationery, sourcing and booking venues, organising refreshments and ensuring meetings run smoothly and efficiently
  • Keeping to deadlines 
  • Liaising with people at all levels both internally and externally 
  • Managing shared inboxes and taking action appropriately  
  • Acting as a point of contact for Education/Health and dealing with enquiries promptly and professionally
  • Managing electronic systems and databases/trackers
  • Analysing evaluations 
  • Accurate recording and reporting of data
  • Developing and maintaining NMC Standards and records
  • Supporting administration duties for Education/Health
  • Co-ordinating, managing and allocating learner placements

  • NVQ 3 in Business Administration or equivalent experience RSA III typing or equivalent qualification.
  • At least 3 years’ previous experience in a senior administrative role or as a PA at Director level, or equivalent experience of working in a large, complex organisation. Previous experience of working autonomously. Minute taking skills. Experience of preparing/formatting reports and taking minutes, together with setting agendas and distribution of associated papers. Experience of diary management and arranging complex meetings. Experience of organising travel and accommodation requirements. Experience in composing correspondence for approval. Experience of project management.
  • Ability to manage and prioritise own workload, using own initiative as required. Excellent secretarial skills, including ability to construct clear, grammatically correct letters and reports, at high standard of presentation. Advanced knowledge of Microsoft Office software applications (Word, Excel PowerPoint, Outlook. High level of written and verbal communication skills. High level of planning and organisational skills. Ability to ‘multi-task’, managing own workload and that of others, often with conflicting pressures, without supervision and within specified timescales. Ability to adapt to change and to develop services and systems to meet changing needs. Problem solving abilities.

  • Ability to travel independently across Mid Essex patch, as required.
