Job overview

We are looking for enthusiastic and motivated individual to join our Frailty Team in role of administrator to the Outpatient Clinics. The Frailty Team run clinics at Colchester, Clacton and domiciliary visits to patient’s home, this role will be responsible for the arranging and booking of appointments, which will include phoning patients and/or their families to arrange, ensuring communication is made via letter with GP in a timely manner and clinics have outcome recorded.

You should have a proven record in customer service and experience of working with the public.  You will need have good communication and Information Technology skills, the ability to work well in a team and excellent attention to detail and accuracy. You will also need to be able to plan and prioritise effectively.

The job is for 23 hours and we can offer flexible hours and days across Monday-Friday.

This role could be based at Colchester or Clacton .

Main duties of the job

•    To arrange with patients outpatient appointment for the Frailty Clinic, this will include having telephone conversations with the patient and their family to ensure appropriate appointment is made.

•    To book outpatient appointment and liaise with GP’s regarding any follow up and ensure letters are sent in a timely manner.

•    To ensure clinics are booked and consideration made to location and travelling for domiciliary visits

•    Ensure clinics are outcome in a timely manner

•    Complete any other admin tasks related to the frailty clinics, including correspondence with GP’s.

•    Assist in developing, maintaining efficient electronic and manual filing systems.

•    Responsible for the maintenance of accurate data on Community and hospital systems as appropriate.

•    Manage your own workload to ensure completion of the full range of your tasks using the knowledge, skills and experience you have gained.

•    Give guidance, support and empathetic approach to any complaints or concerns raised and liaise with the relevant manager

•    To actively participate in the development of improvements for the service.  Incorporate new practices to take account of new technology, demand/capacity tools.

•    You may be required to undertake training in your own discipline, which may include new starter induction.

•    To have an understanding of other admin roles within the department and ensure other admin staff are aware of your role.

Qualifications
