Job overview

The PALS and complaints team at ESNEFT are looking for an experienced administrator to join their team.

The focus of this post is to provide full administration support, specifically within the PALS team, to handle enquiries from patients, relatives and carers as well as other service users whom are both internal and external to the Trust.

Reporting to the PALS & Complaints Manager, the post holder will support the delivery of positive Patient Experience at every interaction.

The candidate will possess excellent communication skills, both verbal and written, allowing them to deal with a range of routine enquiries.  Good attention to detail and accuracy are essential as well as the ability to organise their own workload, be flexible and adaptable as well as being able to work under pressure.  The candidate must also be able to demonstrate empathy, impartiality and sensitivity when dealing with all forms of correspondence from patients or their representatives relating to health service concerns. 

This is part time 20 hours per week, fixed term/secondment contract until 31st December 2025. The Post holder can be based either at Colchester or Ipswich Hospital and there may be potential for some agreed working from home.

Main duties of the job

To provide accurate, flexible, comprehensive and consistent administrative support within the existing PALS team when handling enquiries from patients, relatives and carers as well as other service users. 

To utilise the required technology and hospital systems to support other team members to deliver an efficient administrative service.

Ideally, the position is to cover core office hours, Monday to Friday from 10am - 2pm to support the PALS Co-Ordinators during their busiest times when the telephone lines are open. A mixture of on-site and home working may be agreed.

Essential criteria
  • Educated to GCSE or equivalent in English
Desirable criteria
  • Grade 4 (C) GCSE or above in English Language

Experience

  • Previous office based administrative work
  • Working with members of the public
  • Working as part of a team
Desirable criteria
  • Previous NHS admin experience

Knowledge and Skills

Essential criteria
  • Computer literate & knowledge of Microsoft programmes (e.g. Word, Excel, PowerPoint, Outlook) and other Trust wide computer programmes (e.g. Evolve, Portal, Lorenzo).
  • Using simple statistics, data analysis and interpretation and manipulation of data
  • Data entry, text processing, storage of data and updating databases
  • Excellent communication skills, both verbal and written
