Mid and South Essex NHS Foundation Trust is the only acute hospital provider in the Mid and South Essex Integrated Care System (ICS), which is a system of health and care partners working together for our local population.

Within Mid and South Essex there are 149 GP practices, operating from over 200 sites, forming 27 Primary Care Networks and one Ambulance Trust. There are also three main community and mental health service providers who work together through a community collaborative.

We collaborate with other valuable partners, including three Healthwatch organisations, nine voluntary and community sector organisations and three top tier local authorities, with seven district, borough and city councils, as well as our local universities.

 

Job overview

To work as part of an administrative team providing temporary, high quality and co-ordinated support as specified within the placement request.

The post will vary depending on the assignment and department helping to provide an efficient and cost-effective service to the Trust.

General Admin and clerical experience are essential along with excellent time management, organisational, communication skills and a flexible approach to work.

 

PLEASE NOTE. Although we are unable to guarantee hours, this post would be unsuitable for anyone seeking work
outside of normal business hours such as evenings, nights, or weekends. Our temporary staffing placements fill
an immediate short-term need for services that require cover on weekdays; requirements are typically between 22.5
hours and 37.5 hours per week and placements will typically last between four and 12 weeks

Main duties of the job

  1. Communication
  • To work and liaise with various teams and services across MSE Trust to undertake varied admin and clerical duties in line with the assignment.
  • To provide quality customer care to relevant services and support in a timely, helpful, and pleasant manner, dealing with all enquiries effectively and sensitively, acting where necessary and escalating, if required, in line with Trust’s policies, procedures and guidance.
  • To demonstrate good communication skills, receive and communicate messages accurately via telephone / email/ patient records etc. as specified within the placement details.
  • Receive and distribute incoming mail and ensure outgoing mail is sent appropriately and in a timely manner, as specified within the placement details.
  • To work as an effective team member, networking and contributing to improve working process and practice as required by the post

Detailed job description and main responsibilities

Analytical and Planning

  • Dependant on the placement; to coordinate clinical and non-clinical appointment arrangements. To ensure that planned appointments make best use of time and are confirmed in a timely manner.
  • To access office systems and other information systems, undertake general office duties as required, including filing, scanning, photocopying, management, and disposal of confidential information, to provide an effective administration service, as required by the temporary placement.
  • To undertake duties that promote and support health and safety including carrying out and recording risk assessments including Display Screen Assessments, to ensure a safe working environment.

 Policy and Service Development

  • To work in line with Trust policy, procedure and guidance, Standard Operating Procedures ensuring best practice and quality and governance standards are adhered to.

 Staff Management

  • To undertake any other duties required by a manager appropriate to the banding and relevant to the temporary role.
  • There are a range of Services across MSE Trust where there may be requirements for additional responsibility appropriate to the banding.

Qualifications

Essential criteria
  • Literacy and numeracy minimum of entry level 3
  • Computer literate

  • NVQ Level 2 or 3 or an equivalent qualification
  • Understanding of data protection and patient confidentiality

Experience
