We have an exciting opportunity for you to join us here and Mid and South Essex Foundation Trust.

We are looking for a medical PA to provide an effective, efficient personal assistant and secretarial service to clinical staff.

You will act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring as necessary. These will include personal enquiries from patients and their relatives, as well as calls from GP’s, clinicians, students, nursing and administrative staff, at all times understanding the sensitive nature of calls.

Main duties of the job

Some of your duties will include the following:

 You must be able to prioritise workload and complete within prescribed timescales

Respond promptly and effectively and appropriately to telephone,  personal enquiries and deal with all correspondence appropriately

Accurately and appropriately update and maintain EPR’s as required in line with Local and Trust Policies.

Maintain effective communication (verbal/written) with consultants, GP's, patients etc.

Give guidance and support to new and temporary secretaries when required, acting as a Trainer / Coach / Mentor as appropriate.

To provide a full secretarial service to the Clinician/s, including audio typing/transcription or processing of clinical letters, reports and other relevant clinical records, ensuring that quality standards are met.

To ensure that all patient correspondence relating to outpatient clinics and inpatient admissions is produced accurately and sent out to receiving parties within the agreed timescales.

Liaise with departments across the Trust, general practitioners, patients, relatives and visitors, resolving queries as appropriate.

To act as first respondent when dealing with issues/complaints from patients, G.P.’s etc. to ensure satisfactory outcome. When required, to deal with private patients, overseas visitors and fellow colleagues in accordance with the working methods of the relevant consultants and Trust procedures. Deal with all correspondence appropriately and safely using local and Trust policy

Qualifications

Essential criteria
  • OCR (RSA) level 3 typing or equivalent
  • GCSE or equivalent in English and Maths
Desirable criteria
  • AMSPAR Level 3 Medical secretary Diploma or equivalent

Knowledge and Experience

Essential criteria
  • Proven experience of working as a Senior Secretary/Personal Assistant in a busy environment.
  • Experience of undertaking diary management for consultants/senior managers.
Desirable criteria
  • Patient Administration Systems i.e. PAS/ICE/CED
