Job overview

Our Ophthalmology service is looking for a motivated Administration Support to join our friendly team on a part time, permanent basis. 

We are looking for someone to manage the provision of an effective and efficient booking service to patients, visitors and staff members; to aid the smooth running of clinics, ensure timely reviews for urgent referrals, process and complete the scanning and forms for CVI patients whilst liaising with community colleagues  and to enable the delivery of a quality patient service.

Main duties of the job

The postholder will be responsible for managing incoming referrals, including printing and scanning documentation, ensuring that all referrals are triaged by the appropriate clinician, and coordinating with the relevant teams to facilitate timely patient bookings.

They will be expected to demonstrate confidence in the use of multiple clinical systems, handling patient information accurately and securely while ensuring all tasks are completed within required timeframes. The role requires a high level of attention to detail when processing documentation, including scanning, uploading, printing, and correctly filing information within appropriate systems.

The postholder will liaise effectively with a wide range of stakeholders, including internal clinical and administrative teams as well as external partners such as GPs, optometrists, and local councils, to support smooth communication and service delivery.
They will also be responsible for compiling and maintaining confidential information relating to procedures, reports, and other sensitive documentation, ensuring data integrity and compliance with information governance standards.

In addition, the postholder will actively contribute to the ongoing improvement of the service, identifying opportunities to enhance processes and patient experience. They will be required to monitor and support compliance with local key performance targets, taking appropriate action to ensure these standards are consistently met.
