Fixed Term Medical Secretary to cover Maternity Leave, Band 3 (37.5 hours a week)

We are seeking a 10-month Fixed Term B3 Medical Secretary to cover Maternity Leave  in our extremely busy yet friendly Haematology team working in both Gloucestershire Royal and Cheltenham General Hospitals. 

37.5 hours over 5 days per week, Monday to Friday.

This important role supports the Outpatient Services in Haematology for Gloucestershire Hospitals NHS Foundation Trust.

 

Main duties of the job

The ideal candidate will  have secretarial experience and be accustomed to working in a high pressured and fast paced yet friendly environment.

As a member of the secretarial team, you must possess an excellent work ethic with proven organisational and communication skills, and be an exceptional team player. 

You will join the existing secretarial and admin team and will support the clinical team with duties including  proofreading of clinical letters; chasing results; managing busy mailboxes and phones; liaising with a variety of clinical staff and departments.

You must be able to work both independently as well as within a team environment.

You will also be required to support the wider admin team as necessary under the guidance of the supervisor secretary,

Our friendly and hardworking Haematology secretarial team supports a large cohort of medical staff including consultant clinicians, specialty doctors and nursing teams.

Detailed job description and main responsibilities

- Use of voice recognition software to transcribe and proofread dictated letters

-High attention to detail and accuracy essential  proofreading of clinical letters

- Take and transcribe minutes as appropriate.

- Chasing of scan results

- Management of busy mailboxes and telephones

- Liaising with external organisations for the benefit and progress of patient care, such as GP surgeries, other hospitals, etc

- Take ownership and responsibility for the workload of a team of Consultants, Dr’s and Nurses

Qualifications

Essential criteria
  • Educated to GCSE grade C or above (or equivalent) in literacy and numeracy
  • Typing Qualification or demonstrable experience (min 40 wpm)

Skills

Essential criteria
  • Good command and understanding of English, punctuation and grammar
  • Good written and verbal communication skills
  • Motivated by patient care
  • Computer literate in MS Word, Excel, Powerpoint, Outlook/Diary management
  • Accuracy and attention to detail
  • Able to manage high volume of telephone calls that may be potentially distressing or emotional.
Desirable criteria
  • Previous experience or understanding of medical terminology
