Our Legal Services Team supports the Trust with inquests, claims and a wide range of sensitive legal matters and we need an organised, 
calm and confident Legal Services Assistant to help keep everything moving safely, smoothly and on time.

This is a brilliant opportunity to join a fast-paced Legal Services Team where your work genuinely makes a difference. 

From supporting claims and inquests to coordinating essential legal communications, you will be a key part of how the Trust responds professionally, learns from events, and protects patients, staff and our organisation.  

Main duties of the job

To provide senior administrative and ad-hoc personal assistance support in the day to day management of all legal cases on the caseload. The post holder, under supervision, will:

•    Log and process cases from inception to conclusion
•    Liaise with relevant internal and external key stakeholders
•    Collate and distribute relevant information and documentation
•    Request and proof-read witness statements
•    Draft documents and correspondence
•    Record information and maintain robust electronic records, ensuring that all information and documentation is maintained to a high standard

It is essential that the post holder is able to exercise initiative suitable to the role in respect of any legal case. The post holder will support the team’s inputting of data and quality reporting and monitoring of related data within ActionStep, and undertake general office duties.

The post holder will also provide a range of personal assistant duties to the management within the team on an as required basis. Whilst the role is supervised, the post holder is expected to work autonomously, prioritising work and ensuring deadlines and agreed time frames are met.

Detailed job description and main responsibilities

The post holder will:

•    Act as a central point of contact for all requesters to the Legal Services Team.
•    Monitor the Legal Services and Coroners inbox and assist with telephone duties.
•    Ensure cases are centrally managed, logged, processed and appropriately concluded, in line with any procedural rules and requirements.
•    Liaise with stakeholders appropriate to each case to identify, locate and collate information that addresses the request/assists the process.
•    Exchange verbal and written information concerning legal documents and proceedings to NHS clients, witnesses, claimants, requiring agreement and co- operation, communicate sensitive financial settlement details and results of inquiries to solicitors and others under supervision from the Legal Services & Inquest Officers. 
•    Update professionals on the status of the case when indicated or appropriate.
•    Respond to enquiries in a manner conducive to the process to ensure that expectations are met.
•    Ensure quality is maintained and that any written or verbal information is presented in a professional style and format across the board.
•    Ensure the relevant authority is in place to release information.

Qualifications

Essential criteria
  • NVQ level 3 or equivalent in administration
  • Excellent literacy and numeracy skills (GCSE or equivalent in English and Maths)
  • IT Microsoft Office qualifications or work-based experience in Word, Excel, PowerPoint and Outlook.
Desirable criteria
  • A law degree or equivalent qualification

Experience

Essential criteria
  • Previous experience of working in a legal environment
  • Significant business/administrative support, including initiating and maintaining office systems, with the ability to undertake associated tasks
  • Demonstrable experience in dealing with third party professional organisation, along with sensitive and confidential information.
  • Extensive knowledge of Data Protection and GDPR in relation to the disclosure of data.
  • Experience of working with patient information systems or the ability to learn new systems.
