Job overview

Cheltenham & Gloucester Hospitals Charity supports Gloucestershire NHS Foundation Trust by raising, managing and distributing funds.

As a member of our Charity Team, you will lead efficient and effective financial systems and contribute to the charity's effective operation. You will have a flexible, proactive, and adaptable approach to the requirements of this role and to developing financial, data, and reporting needs.

 Working closely with the Charity Head of Operations and Operations Officer you will be a dedicated, organised, and reliable individual working on the operations team. You will show determination to succeed and have a solution-focused outlook. You will be passionate about finance and information management, producing accurate and insightful reports using the finance system and our database (Beacon CRM) for internal stakeholders and informing the team's work. 

 In this key role, you’ll work closely with the teams across the charity and Trust, using your expertise in finance, journals, data input, analysis and reporting to drive the charity’s finances forward.  You will be extremely organised and able to balance a number of priorities, producing work of a high standard to support the operations team and charity’s work. Confident with IT, the Microsoft suite of packages, databases and willing to learn new systems you will keep accurate and up to date records at all times.

Main duties of the job

Manage the day to day charity financial matters 

Responsible for ensuring the charity maintains a coherent audit trail of all financial transactions 

Complete various monthly reconciliations as required by the month-end timetable. 

Manage the allocation of income including banking, accounting, documentation and transfer of income to the Trust’s security couriers/bank. 

Produce monthly reports to inform the team of progress against budgets and KPIs. 

Monitoring and forecasting budgets and supporting colleagues with forecasts for income and expenditure.

Manage the process of HMRC returns in order to claim the recovery of tax on donations under Gift Aid due in a timely manner

Support the Trusts procurement procedures

Work closely with the Head of Operations and finance department with the year-end audits, including assisting in creating the Annual Report and accounts. 

Responsible for coordinating legacy correspondence between the charity, solicitors and administrators of estates.

Entering gifts accurately onto the fundraising CRM ensuring relevant gifts are acknowledged and/or other team members are notified. 

Downloading and analysing reports from online donation platforms.

Working for our organisation

The Charity has an office in Cheltenham Hospital and also in Gloucester Hospital, this post will be part of our operations team based in our office on the Gloucester site.  We raise funds to support projects that make a positive change for as many as possible using or working in the Gloucestershire Hospitals NHS Foundation Trust; making a significant impact every day of the year, for tens of thousands of local people of all ages.

Qualifications

Essential criteria
  • Full AAT or degree in Accountancy/Finance and Business, or equivalent experience or training in the charity, statutory or business sector
Desirable criteria
  • Studying towards an accountancy qualification or other training / development

Knowledge and Skills

Essential criteria
  • Accurate input of financial information into finance and reporting systems to enable the production of good quality/timely reports.
  • Experience of working with a team to advise on finance, forecasts and budgeting.
  • Substantial experience of cash handling and banking
Desirable criteria
  • Knowledge of fundraising best practice in all matters relating to donations

Experience

Essential criteria
  • Experience of using finance software and databases to track income, expenditure and to analyse complex financial information in relation to £millions of income and expenditure
Desirable criteria
  • Substantial experience working within a charity team, preferably within a health or hospital environment
