Job overview

Admin Support- Diabetes and Endocrinology, Band 2 (15 hours a week)

Working in a administrative support role within the Diabetes & Endocrinology Department.

We are looking for candidates with exceptional organisation, interpersonal skills, and the ability to work well as part of a team but also to work on their own initiative.

The department is fast moving with new challenges in this evolving specialty.

Main duties of the job

The main duties of the job include:

- Collection and delivery of notes in the department

 -Booking of any required appointments

- Setting up and formatting letters for our team of diabetes nurses.

- Filing of clinical documentation

- Dealing with departmental post

The Diabetes team are a friendly department that work to a high standard to ensure we are delivering a high standard of patient care.

Detailed job description and main responsibilities

Typing correspondence to patients, GPs, medical staff and any other required addressee following clinical attendance or other patient contacts using digital dictation or via Dragon voice recognition.

Ensuring incoming post and results is sorted, any appropriate action taken and passed to the team on a daily basis.

Deal with enquiries by letter/e-mail/telephone from patients, GPs, other hospitals, other consultants and management.

Liaising with external organisations for the benefit and progress of patient care, such as Social Services, other hospitals, etc.

Using speciality databases for recording patient information/clinic activity for audit/survey purposes, as well as sending out any associated paperwork.

Qualifications

Essential criteria
  • Educated to GCSE grade C or above (or equivalent) in literacy and numeracy
  • Proficiency keyboard skills
Desirable criteria
  • Experience in MS packages

Knowledge and Experience

Essential criteria
  • General knowledge of office duties. Awareness of health and safety issues, risk management and data protection.
Desirable criteria
  • 1 years’ experience in a hospital of office environment

Skills

Essential criteria
  • Good command of English, punctuation and grammar
  • Flexible team worker
  • Ability to work under instruction.
  • Good communication and social skills.
  • Ability to use own initiative
