Job overview

An exciting opportunity has arisen in the Vascular department for a Band 3 Medical Secretary based at Pullman Court, Gloucester Royal Hospital.

You will at times be expected to work under pressure to meet targets. The post holder will provide an efficient secretarial and audio typing service to the specialist team. Additionally, the role will also include administrative tasks to ensure appropriate support to the consultants. The post holder will be responsible for providing results of scans to the Consultant’s Gloucester Secretary for the Consultant’s to review and chasing scans if there are delays to the patient’s treatment. The post holder will be responsible for the Swindon email inbox which receives queries from either GP surgeries or other departments within the hospital. The post holder will also attend the weekly MDT meetings, recording outcomes from consultants and actioning outcomes where necessary. The post holder will also be expected to check clinic outcomes on the hospital Trak system to ensure accuracy. 

The Vascular Network provides specialist cover for Gloucester Royal as the hub with Swindon Hospital as a spoke. Both sites are extremely busy and requires an energetic but exceptionally organised person to join our specialist team. Main duties of the job

Audio typing correspondence to patients, GPs and medical staff and any other required addressee following clinical attendance or other patient contacts as directed by the Secretary Supervisor

Maximising capacity by ensuring that slots are used and flagging up any issues to the Secretary Supervisor 

Ensuring that results, correspondence and patient queries are dealt with accurately and promptly

To ensure that RTT guidelines are achieved for patients

Checking of clinic outcomes to ensure accuracy

Ensure that the necessary action is taken for patients that are required to attend for further investigations and ensure systems of work are in place to ensure the results are shared in a timely manner with the relevant clinician.

Ensure the allocation of patients added to the waiting lists correctly. 

Ensure that patients do not breach their target waits in accordance with local and national guidelines. Take proactive action to resolve or escalate any concerns with waiting lists.

Ensure any speciality results spreadsheets are maintained accurately

Ensure that administrative processes are standardised and comply with national and local guidelines

Undertake any other appropriate duties commensurate with the role, as required at the request of your line manager

Qualifications

Essential criteria
  • Educated to GCSE level – Minimum Grade C in Math’s and English
  • Experience of Microsoft Office, including Outlook, Word, Excel and PowerPoint
Desirable criteria
  • Medical Secretary Diploma or equivalent experience
  • Experience of typing clinical letters including medical terminology

Knowledge

Essential criteria
  • Clear communicator with excellent writing, data entry and telephone communication skills. Capable of constructing and delivering clear information / instruction to a wide range of people
  • Problem solving skills and ability to respond to sudden unexpected demands
  • Knowledge of or an ability to understand clinical pathways in relation to RTT
Desirable criteria
  • Knowledge of NHS systems

Experience

Essential criteria
  • Proven administrative experience, including initiating and maintaining office systems
  • Experience of handling telephone enquiries
  • Experience of planning and organizing administrative tasks
  • Experience of managing own workload
