Job overview

The Access to Health Records Department is responsible for responding to subject access requests (SARs) from patients, solicitors, Police, and other agencies requiring copies of patients’ health care records in a timely manner in line with the General Data Protection Regulations (GDPR) 2018.

Main duties of the job

The post holder will work as part of a small team, under the supervision and management of the Health Records Administration manager, ensuring all enquiries are responded to by maintaining a central record of request within an online portal, accurately accessing and proofing records ready for dispatch.  Communicating with requestors via telephone and email.

The role will also require a good eye to detail when pulling patient information together using our online electronic document management system to support with the request that has been submitted.

Training & Qualifications

Essential criteria
  • English GCSE grade C or above/or equivalent
  • IT Literate
Desirable criteria
  • Evidence of further education
  • Experience of working with microsoft packages

Experience & Knowledge

Essential criteria
  • ability to manage time and make decisions on a variety of tasks and changing priorites
  • Ability to remain calm and professional under pressure
  • Knowledge of Confidentiality
  • Understanding of GDPR & Data protection Act 2018
Desirable criteria
  • Experience of working in a Health care setting

Skills & Ability

  • Excellent communication skills
  • Abel to work to tight deadlines

  • Experience of handling sensitive and complex sets of information and situations

  • Previous experience in a Information/GDPR required role

  • Ability to travel between sites
  • Physically able to pull and handle medical records, some of which will be multiple volume

  • Ability to assess and prioritise subject access requests as they are submitted according to the standard operating procedures. To be able to understand and follow set policies and procedures.
