Job overview
We have an exciting opening for a Ward Manager Administrator to provide comprehensive administrative services to the clinical matron. Isolation ward is a 7 bedded ward in Basingstoke looking after the needs of general medicine patients.
Main duties of the job
- Responsibility for providing a full secretarial and administrative service to the designated Managers. This will include diary management, management and production of all correspondence and the development and maintenance of document management systems
- To work autonomously taking full responsibility for the diary management and administration of the designated Managers
- Establish and implement policies and procedures to maintain efficient department/office and filing systems to facilitate the smooth running of the administrative services, ensuring that the working environment is kept tidy, safe & secure
- To monitor e-mail and other correspondence and respond where appropriate. To bring essential items to the attention of the designated Managers for action.
- Provide accurate, timely and relevant handover information using electronic systems where available
- Maintain confidentiality at all times, as required by legislation and trust policy

Training & Qualifications
Essential criteria
- Level 4 NVQ or equivalent
- Senior administration training or relevant experience
- Recognised computer literacy course (e.g. ECDL) or equivalent experience
Desirable criteria
- Professional PA/secretarial qualification
- Project management training/qualification
Planning and Organisation
Essential criteria
- Significant experience as a Management Assistant , some of which should be to very senior level executive
- Experience of providing secretarial support to meetings (including formal minute writing, preparation of agenda etc
- Supervisory or line management experience
Desirable criteria
- Working within the NHS
Skills & Ability
Essential criteria
- Planning and organisational skills
- Ability to work effectively under pressure, meet deadlines and prioritise workload in a challenging and demanding environment
- Effective interpersonal and communication skills (verbally, electronically and in writing)
Desirable criteria
- Shorthand
- Wider IT experience including Publisher, Projects and Access databases

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
