Job overview

We have an exciting opening for a Ward Manager Administrator to  provide comprehensive administrative services to the clinical matron. Isolation ward is a 7 bedded ward in Basingstoke looking after the needs of general medicine patients.   

Main duties of the job

  • Responsibility for providing a full secretarial and administrative service to the designated Managers. This will include diary management, management and production of all correspondence and the development and maintenance of document management systems
  • To work autonomously taking full responsibility for the diary management and administration of the designated Managers
  • Establish and implement policies and procedures to maintain efficient department/office and filing systems to facilitate the smooth running of the administrative services, ensuring that the working environment is kept tidy, safe & secure
  • To monitor e-mail and other correspondence and respond where appropriate. To bring essential items to the attention of the designated Managers for action.
  • Provide accurate, timely and relevant handover information using electronic systems where available
  • Maintain confidentiality at all times, as required by legislation and trust policy

Training & Qualifications

Essential criteria
  • Level 4 NVQ or equivalent
  • Senior administration training or relevant experience
  • Recognised computer literacy course (e.g. ECDL) or equivalent experience
Desirable criteria
  • Professional PA/secretarial qualification
  • Project management training/qualification

Planning and Organisation

Essential criteria
  • Significant experience as a Management Assistant , some of which should be to very senior level executive
  • Experience of providing secretarial support to meetings (including formal minute writing, preparation of agenda etc
  • Supervisory or line management experience
Desirable criteria
  • Working within the NHS

Skills & Ability

Essential criteria
  • Planning and organisational skills
  • Ability to work effectively under pressure, meet deadlines and prioritise workload in a challenging and demanding environment
  • Effective interpersonal and communication skills (verbally, electronically and in writing)
