Main duties of the job

We have a vacancy for an enthusiastic administrator to join our reception team within Maternity Services at the Princess Anne Hospital.

This is a permanent opportunity. Our shift patterns are flexibly rostered (6 weeks in advance) and allocated to cover the service 7 days a week.  Shift patterns include weekends, late evenings and bank holidays and rostered to offer a fair allocation and to support a good home/work life balance for the whole team.

Detailed job description and main responsibilities

Our ward administrators provide valuable support and therefore are crucial to the smooth running of the service.

What you’ll do:
•    Work as part of the administration team providing administrative support to clinical colleagues.
•    Undertake reception and general administration duties, including answering the telephone, arranging appointments, scanning into clinical records, meeting and greeting families and visitors to ward areas. 

What we’re looking for:
•    You will be supportive, kind, caring and empathetic in your approach to patients and families accessing our service.  
•    Provide excellent customer service with a ‘can do’ attitude and have experience of dealing with the general public.
•    Be familiar and confident in the use of Microsoft software, please demonstrate this knowledge in your application.
•    Be a team player, embrace fresh ideas and engage with change positively.
•    Be flexible with working patterns.   Shift are rostered, 6 weeks in advance, and will include a combination of early shifts (7.00 am – 3.00 pm), late shifts (1.00 pm – 9.00 pm), long days (7.00 am – 5.00 pm) and twilight shifts (4.30 pm – 12.30 am).   Due to the nature of the role, there are no working from home possibilities.

Qualifications / training required

Essential criteria
  • Literacy and numeracy skills, demonstrable to GCSE standard or above.
  • Fully conversant with Microsoft Office systems to include Word, Excel and Outlook.
Desirable criteria
  • NVQ 2 Business Administration/Customer Services or equivalent.
  • Courses / further study to demonstrate evidence of personal development.
  • Knowledge of NHS electronic systems.

Previous or relevant experience necessary

Essential criteria
  • Administrative experience in a busy customer focused environment.
  • Experience of dealing with the general public.
Desirable criteria
  • Experience in a busy hospital environment.
