Job overview

To provide administrative, organisation and support of the Works Management Group involved in the day to day maintenance of all Community Buildings.  This will include purchasing of goods and equipment, management of contracts and prioritisation of workload for the whole team. 

Main duties of the job

  • To input data and raise orders and returns on the Integra and NHS Supply Chain ensuring prioritisation in terms of costs and quality
  • To populate, maintain and manage helpdesk reporting system ensuring all jobs are logged, rectified and closed down in a timely way.
  • Allocate jobs to the appropriate trade person monitoring response times. Including the use of external contractors.
  • Produce reports from helpdesk system for estate manager to report at forums.
  • Ensuring day to day running of a busy office dealing with varying complexities of telephone queries from hospitals and clinics
  • Support Senior Administrator to carry out Day to day management of contracts and supply chains including Linen and other long term contracts, providing analytical data based information.
  • Support Senior Administrator with the preparation and co-ordination of formal building and engineering contractual documentation as required.
  • Liaison and direction of Engineers coordinating locations and tasks during emergency situations
  • Provide cover for Senior Administrator in their absence directing queries appropriately to senior managers.
  • Input ESR information, ensuring all data is up to date and current.
  • Support Senior Administrator with collating & inputting staff time sheets.
