We are looking for a  highly motivated individual to join our Mid Essex Talking Therapies admin team. 

Our Administrators are pivotal to our work in providing first line contact to people who call us, and in providing a comprehensive, professional and effective administrative support to our team.

You will have the ability to work well within a team environment and be able to manage and prioritise workload, being able to work on your own initiative with minimal supervision.

In return, we offer supervision and access to training and development as part of your own personal development and support plan.

Main duties of the job

The job role involves providing comprehensive, professional, and effective secretarial and administrative support to the Mid Essex Talking Therapies Team. 

This is a busy and varied role so good interpersonal skills are required. As some of the work will involve speaking to service users on the telephone, you must display a considerable degree of tact, possess mature judgement and maintain a calm, friendly and efficient manner.

The right person will be able to work with a degree of autonomy and apply a high degree of confidentiality to all of their work.

Detailed job description and main responsibilities

Job Summary:

To work as a key part of the team and to be responsible for providing comprehensive administrative support to the team.

 

Duties include responsibility for entering information on the Electronic Patient Record system, (PCMIS), inputting clinical data i.e. registering service user details, ensuring service user information is updated, booking appointments as required by the team and generating related correspondence.

 

To manage incoming calls and to contact service users as required on behalf of the team. To receive visitors, deal with incoming and outgoing mail, logging faults with facilities and ensuring that the office area is kept tidy. To be accountable for any paper files and archive filing system.

 

The post holder will be expected to apply a high degree of confidentiality to their work, whilst ensuring clear communication within the team and administrative colleagues. To undertake routine duties under the supervision and procedural guidelines.

QUALIFICATIONS/EDUCATION/TRAINING

Essential criteria
  • Good level of education/GCSE incl. English Language
  • Good level of numeracy
Desirable criteria
  • European Computer Driving Licence or equivalent.
  • NVQ II or equivalent, or willing to work towards this qualification
  • RSA II or equivalent, or willing to work towards this qualification

PREVIOUS EXPERIENCE

Essential criteria
  • At least two years’ experience of working in a health care/mental health care/office environment.
Desirable criteria
  • Experience working within the NHS

SKILLS/KNOWLEDGE/ABILITY

Essential criteria
  • General knowledge of office procedures and an all round education, with interest in Health Service Issues
  • Be proficient in the use of computerised systems especially Word & Excel to a level to enable the production of a high standard of finished work.
  • The ability to organise and prioritise own workload and to work under pressure and within agreed guidelines
  • Excellent communication skills when dealing with service users, their relatives/carers and other outside agencies either by telephone/letter or face to face contact
  • Display the ability to exercise initiative. tact and judgement and be able to make decisions when required to do so

COMMUNICATION SKILLS

  • Interpersonal skills
  • Ability to apply discretion as to and when required.
  • Understanding of Mental Health issues and terminology.
