Job overview

The World Health Organisation says "Immunization is key to primary health care, an indisputable human right, and one of the best health investments money can buy." We are looking for a senior administrator  who can bring all of their skills and attention to detail to support our clinicians to deliver the  community and school age immunisation service across Norfolk and  Waveney. 

 

The work will involve some weekend and evening work to meet the needs of our communities.

Main duties of the job

The ideal candidate will be enthusiastic and highly motivated with a desire to improve the health and wellbeing of  communities by supporting the delivery of a variety of vaccinations. The role  involves  providing leadership to a small group of administrative assistants  supporting the immunisation team across a range of administrative tasks in a variety of community clinics including schools, and office environments. Ideally you will have experience of working with a variety of ages, and experience of working in a  health care setting would be useful.

You will have excellent communication skills both spoken and written and be able to establish good working relationships with a wide range of stakeholders and service users . You will be IT literate with  an excellent  working knowledge of Microsoft Office and Excel applications. The ability to organize and plan the workload priorities both  for yourself and the administrative team is essential. As is an ability to problem solve and to be able to lead a team through change.  Experience of working with Systmone electronic health records would be an advantage .

A full valid driving license and access to a car to use regularly for business purposes is essential (unless you have a disability as defined by the Equality Act 2010).

Detailed job description and main responsibilities

Provide administrative leadership support to the Community and School Age immunisation Service.

 Minute taking of meetings which will include representation from multiple agencies across sites as required .

 Prepare files and supporting papers for meetings and committees relevant to the functioning of the School Aged Immunisation Team. 

 Ensure timely collection and production of statistical data relating to the School Aged Immunisation Team as directed, compiling reports where necessary for management information and forwarding relevant information to other Trust departments as necessary. 

 Continually set and review own workload priorities. as well as the wider administrative team.

 Deal with telephone, mail, e-mail and general enquiries by prioritising and ensuring that appropriate messages are relayed to the appropriate team member or action taken. 

 
 

Advanced keyboard skills/touch typing to facilitate the accurate and speedy production of reports, spreadsheets, correspondence and minute taking. 

 Communicating with other professional members of staff within the Trust and external agencies on behalf of Community and School Aged Immunisation Service Team. 

 
 

To maintain and create Excel spreadsheets in relation to the work of the Community and  School Aged Immunisation Service Team. 

 To maintain and create administrative processes and guidance in partnership with the Team Lead for the administrative  and clinical teams of the Community and School Age Immunisation Service.

 To maintain a high level of confidentiality in relation to the highly sensitive nature of safeguarding children issues 

 

Person specification

Experience and Knowledge

Essential criteria
  • Educated to level 3 or equivalent knowledge and experience suitable to the role.
  • Proficient in using electronic patient record systems
  • Confidently proficient in Microsoft excel word with the ability to train others.
  • Experience of managing own workload and that of other administrative staff.
  • To work in partnership with Team lead and senior immunisation practitioners to plan and organise the schedule of clinics and school visits
Desirable criteria
  • An understanding of SystmOne is desirable
  • Work within the NHS.
  • Understanding of immunisation and screening pathways and the impact on patient care

Skills and Abilities

Essential criteria
  • Confidently proficient in Microsoft excel word with the ability to train others.
  • Respond to situations with confidence and problem-solving abilities.
  • Ability to support and prioritise the work of the other administrative staff
  • Ability to work without direct supervision efficiently and accurately.
  • Ability to problem solve and deal with non-standard processes and direct others to support these
  • Ability to learn new ways of working, using digital applications and introducing these to other team members
  • Ability to work at pace with high volumes of competing tasks.
