Job overview
An exciting opportunity has arisen for a part time Team Administrator within the PATH (The Early Intervention in Psychosis team in Hertfordshire) & ARMs (At Risk Mental State) services. This role will be based at our Radlett office.
We are looking for a highly organised, efficient individual to provide an administrative service to the team. You will be able to demonstrate that you can work alone, prioritising and managing your own workload whilst maintaining a positive, professional and calm approach. You should have excellent IT skills, a good working knowledge of Microsoft Office Packages .
Your role will involve communicating with our service users and staff so you should have highly developed communication skills. You will support your colleagues and the wider team at busy times.

Main duties of the job
- To work as a key part of the team and to be responsible for providing comprehensive administrative support to the team.
- To ensure accurate data registered on the Patient record system; to produce data for audits.
- Covering telephone calls into the teams, ensuring all calls are dealt with promptly and in a professional manner
- To sort and issue incoming post, stamp or frank outgoing mail
- Responsible for logging faults with Estates
- To book clinical & meeting room for the PATH & ARMs teams across multiple hub site
- Responsible for ordering IT equipment, mobile phones, stationary items, lone worker devices and any other equipment required for staff
- Requesting & updating IT access for new & existing staff
- Eroster administration - Coordinate and manage rosters to ensure service managers have oversight of staffing levels at all times.
- Car Permits: Manage the issuance and renewal of car permits for staff.
- Financial Ordering and Accounts: Handle financial transactions, including ordering and maintaining accounts with support of managers.
- The post holder will be expected to apply a high degree of confidentiality to their work, whilst ensuring clear communication within the team and administrative colleagues. To undertake routine duties under the supervision of the leadership team.

- Responsible for the smooth running of the team processes generating correspondence to service users and carers.
- To ensure accurate data registered on the Patient record system; to produce data for audits.
Responsible for ensuring that all visitors to the team and al telephone calls are dealt with promptly and in a professional manner; bearing in mind the need for confidentiality and trequirement to promote the Trust’s corporate image.

· Accountable for paper files and filing system, including archive files.
· To book clinical & meeting room for the PATH & ARMs teams across multiple hub sites
· Responsible for office area ensuring notice boards and leaflets are up to date with relevant information.
· To update skills as necessary and attend mandatory training
- Responsible for ordering IT equipment, mobile phones, stationary items, lone worker devices and any other equipment required for staff.

Person specification
Knowledge, Training and Experience
Essential criteria
- A good standard or education to secondary level – NVQ2/GCSES A-C Grade or equivalent
- The ability to organise and prioritise own workload and to work under pressure and within agreed guideline
- At least 2 years’ experience of working in an office environment
- Experienced & confident user of all Microsoft Packages
Desirable criteria
- Experience of using Eroster system
- Experience of using Paris patient record system
Communication Skills
Essential criteria
- Excellent communication skills when dealing with service users, their relatives/carers and other outside agencies either by telephone/letter/email or face to face contact
- Demonstrating respect and empathy with service users
- Appreciation of confidentiality
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
