Job overview

To work within a small team of administrators, nurses and Doctors based in Stevenage. The Children Looked After (CLA) & Care Leavers Health Service work in partnership with Hertfordshire County Council (HCC) Children’s Services to identify the health needs of CLA and Care Leavers.

The main focus of the CLA Service is to co-ordinate the administration of health assessments on behalf of HCC for CLA and young people placed both in and out of the county to meet the health needs of CLA. The work of the team is reliant on a number of other service providers completing health assessments including CLA GPs, East & North Herts Acute NHS Trust Paediatricians in the County and GPs/Paediatricians and other CLA health teams working in other Counties. 

 

Main duties of the job

 

To provide a point of contact for the CLA & Care Leavers Health Team.

To take messages accurately and communicate effectively and in a timely manner to team members.

Undertake organisation of workload as agreed by the Named Nurse and  Senior CLA Co-ordinator

To co-ordinate and carry out complex administrative duties within the agreed CLA pathways

Maintain computerised (and paper when appropriate) storage systems as required to meet the needs of the service. 

Responsible for ensuring that all referrals for the service are recorded and referred to the appropriate person/team/clinician both within Hertfordshire and across the UK, in accordance with established timeframes.

Responsible for identifying the appropriate professional within other organisations to refer to.

Receive, sort, distribute and dispatch mail.  Receive and transmit highly confidential, sometimes complex information via email to colleagues/partners and external agencies across the country.

To ensure that organisational policy and protocols are adhered too.

Be part of the finance administration process for health assessments. 

Agree payment within National agreed Tariffs, for health assessments to be undertaken for CLA placed out of county.

 

Prioritise own work on a day-to-day basis to ensure that timescales are achieved, and deadlines met with accuracy.

Detailed job description and main responsibilities

The Children Looked After (CLA) & Care Leavers Health Service work in partnership with Hertfordshire County Council (HCC) Children’s Services to identify the health needs of CLA and Care Leavers.

The post holder will have a pivotal contribution to make in supporting this work by providing an effective and highly confidential administrative role, by coordinating and delivering accurate work in order to meet the timeframes which have been agreed by Commissioners and partner agencies.

  • GCSE qualifications or equivalent
  • NVQ Level 4 in Business & Administration or equivalent knowledge and experience

Skills

  • Highly Organised, attention to detail and ability to prioritise workload
  • Ability to maintain judgement under pressure and work within agreed deadlines
  • Computer literate and proficient in the use of Microsoft packages including Word, Outlook and Excel

Experience
