Job overview

Come and work for us in a modern, purpose-built unit within the beautiful Hertfordshire countryside!

This role will involve working as a vital member of the Hertfordshire Neurological Service which specialises in the treatment and management of people with acute neurological conditions. You will provide essential administrative support to the Physiotherapy and Occupational Therapy Inpatient Team in delivering the daily rehabilitation service at Danesbury Neurological Centre. You will be a first point of contact for patients, relatives and other health professionals maintaining a high level of professionalism and sensitivity, taking messages, and carrying through any necessary actions.

Taking responsibility of general administration duties within the office area, you will help develop, maintain, and monitor office systems to ensure the efficient day to day running of the team.

Main duties of the job

  • To work within the Physiotherapy & Occupational Inpatient Therapy Team to provide administration support in accordance with the requirements of the service as guided by the Therapy Leads.
  • To develop a thorough understanding of the service and processes used including referral and treatment pathways and links with other adult services.
  • Deal with difficult telephone calls tactfully and sensitively, take messages and carry through any necessary actions.
  • Use good customer care skills in your interactions with the public, colleagues and other health care professionals.
  • Develop good working relationships with the inpatient team as well as staff in other departments and organisations as appropriate.
  • Oversee the generic therapy e-mail account and respond or highlight e-mails to staff members accordingly
  • Ensure accurate minute taking in attendance of patient planning/ family meetings and wider team meetings.
  • Take responsibility in the weekly preparation of patient therapy timetables Participate in the local administration of patient record systems e.g. SystmOne.
  • Take responsibility of photocopying, filing and general administration duties within the office area
  • Monitor stock levels and order items for the department such as stationery, uniforms and therapy equipment
  • To support the therapy leads in essential audits

Meet all mandatory training requirements

Be competent in the use of Microsoft Office packages e.g. Access, Word, Excel, Outlook, Publisher and PowerPoint

To be efficient and skilled in the use of spreadsheets, databases tables etc. Adopt professional behaviours at all times and encourage this in team members Ensure compliance with supervision and appraisals standards

Respond to requests for information and actions in a timely manner

Work as part of the team in developing processes and systems to better meet the needs of the service

Communicate clinical and personal information confidentially and in an appropriate format. Follow Trust and departmental policies and guidelines

Develop,maintain and monitor office systems and make/ suggest changes as appropriate Complete referrals to outside agencies including the Stroke Association and Carers in Herts Support the team in the completion of essential daily, weekly and monthly audits

Complete data entry for service specific outcome measures

To adopt a constantly flexible approach to ensure that all individual and team objectives are completed efficiently and within given timescales.

Ensure all confidential paperwork is filed or shredded promptly and securely

Qualifications

Essential criteria
  • Educated to GCSE or equivalent in English and Mathematics
  • NVQ 3 in Business/Administration or equivalent level of knowledge and experience.

Experience

Essential criteria
  • Previous NHS/ Healthcare experience
  • Previous Secretarial / Administrative experience

Skills & Abilities

Essential criteria
  • Proficient in the use of Microsoft software including Word & Excel
  • Ability to autonomously organise workload, demonstrating prioritisation
  • Demonstrate a high standard of customer service skills with the ability to adapt communication style
