Job overview

A new opportunity has arisen for a Band 4 Senior Administrator Based at Trust HQ in Howard Court, Welwyn Garden City - working both remotely and within the office on a rotational basis

This position will be based within the Business Support Team offering senior administration support to Assistant Directors and the wider Integrated Business Team (IBT). 

In addition to the basic salary, this post attracts a High Cost Area Supplement of 5% of basic salary (pro rata where applicable). 

2 positions available: 1 permanent, 1 Fixed Term Contract (1 year)

Main duties of the job

The post holder will be a Senior Administrator in the Business Support team within the Integrated Business Team (IBT).  The purpose of the role is to provide coordinated administrative support to the various areas of the IBT.

The role will undertake a wide range of administrative tasks, including having responsibility for a number of delegated duties as a part of a comprehensive administrative service.

The post holder will act as a source of advice and guidance, and be a key point of contact for relevant enquiries from internal and external stakeholders at senior levels.

Qualifications and Training

Essential criteria
  • NVQ Level 4
  • RSA III (or equivalent)
Desirable criteria
  • Microsoft Office software training – specifically MS Word, MS PowerPoint, MS Excel, MS OneNote

Experience and Knowledge

Essential criteria
  • Strong experience in liaising / negotiating with senior team members from internal departments and from external stakeholders
  • Experience of preparation of reports and taking of and producing formal minutes, together with preparing agendas and distribution of associated papers
  • Experience in drafting correspondence for approval
  • Experience of arranging complex conferences/seminars and large meetings
  • Experience in managing and prioritising a heavy workload
  • Experience of organising travel and accommodation requirements
  • Advanced level knowledge of IT systems in particular word processors, spreadsheets, and presentation software
  • Demonstrable knowledge of the full range of administrative and organisational policies and procedures associated with this role
Desirable criteria
  • Desirably experience of working within NHS / Healthcare environment
  • Desirably advanced knowledge of MS Office package
  • Desirably experience of maintaining and updating intranet/web pages

  • Prioritise and plan own workload in a busy non-routine environment to deadlines, delegating where appropriate and using own judgement to refer or escalate issues when necessary, and anticipating foreseeable problems
  • Good verbal & written communication skills including the ability to persuade, motivate, summarise and influence others into taking a course of action
  • Communicate sensitive and confidential issues in an appropriate manner
  • An understanding of the correct presentation and formatting for formal letters, presentations, and emails
  • Able to work on a variety of tasks with deadlines at any one time with minimum of supervision
  • Respond effectively and appropriately to external calls and queries from members of the public and external stakeholders
