Part-time position available (32 hours per week)
We are seeking friendly and organised individuals to join our team, providing a professional front-of-house reception service and supporting the Patient Experience Team.
Main duties of the job
- To provide receptionist service at the hospital’s Main / North reception desk
- To provide administrative and clerical support to the Patient Experience Team
- To answer telephone enquiries by relatives, carers and friends concerning patient location, accessing patient location information via the hospitals Patient Administration System (PAS)
- Respond to patients and visitors’ problems and questions.
- Liaise with outer support services to ensure excellent patient focus is maintained at all times.
- Develop excellent professional relationships with colleagues within the Trust
- Develop a good team approach to support services, volunteers and staff.
- Liaise with the wider team with regards Patient Advice and Liaison and Complaints.
- To direct patients being admitted to the correct location for admission.
- Liaise with other departments within the Trust as required.
- Ensure the Reception area runs smoothly and is patient / visitor focussed.
- Provide clerical support to the Patient Experience Team as directed by the Patient Experience Facilitator/Patient Experience Lead
- Maintain electronic filing systems as required
- Undertake data collection and inputting onto IT systems including Datix, as required
- Take telephone messages and relay to other members of team as required
- Process lost property, maintaining accurate records and linking with cashiers as appropriate.
- Ensure good customer care practice at all times.

Detailed job description and main responsibilities
Key responsibilities:
- Deliver a welcoming reception service at the hospital’s main reception desk
- Respond to enquiries from patients, visitors, and relatives, including locating patients using hospital systems
- Provide administrative and clerical support, including data entry, filing, and message handling
- Assist with patient directions and ensure a smooth, patient-focused reception experience
- Liaise with internal departments and external services to support patient care
- Support Patient Advice, Liaison, and complaints processes
- Maintain accurate records, including lost property and system data (e.g. Datix)
- Build effective working relationships with colleagues, volunteers, and support services

Qualifications
Essential criteria
- Minimum 3 GCSEs or equivalent (including maths/English)
Skills and Knowledge
Essential criteria
- Computer literacy using MS word, excel, Outlook and Excel.
- Able to write clear and concise reports
- Excellent Customer Care Skills Self-motivated and committed to the post
- Ability to work under pressure and to tight deadlines
- Able to work alone and be a good team player
- Efficient use of resources
Desirable criteria
- Minute taking skills or willing to undertake necessary training
- Trained or willing to undertake training in the Hospital Patient Administration systems (PAS, ecare logic)
- Experience of hospital administrative work
