Senior Homecare Clerk

Job overview

We are looking for an enthusiastic person to join our small Pharmacy Homecare team for a 1 year fixed term contract to cover maternity leave.

Pharmacy Homecare provides patients with the benefits of having their medicines delivered and/ or administered in their own home, removing the need for frequent hospitals visits. Our small team provides admin and customer service support to ensure patients receive their medication safely and on time, sending prescriptions to homecare suppliers, processing invoices and dealing with patient and supplier queries.

PLEASE NOTE - WE CANNOT OFFER VISA SPONSORSHIP FOR THIS ROLE. If you hold a Graduate/Post Study work visa, you will only be able to work this role fixed term until the expiry date of your visa.

Main duties of the job

Ø  To oversee the day to day running of the Homecare Office including the below duties to ensure tasks are completed efficiently and in a timely manner.

Ø  To supervise new members of staff along with the other Senior Homecare Clerks under the direction of the Assistant Team Leader.

Detailed job description and main responsibilities

Ø  To oversee the day to day running of the Homecare Office including the below duties to ensure tasks are completed efficiently and in a timely manner.

Ø  To supervise new members of staff along with the other Senior Homecare Clerks under the direction of the Assistant Team Leader.

Ø  To participate in the prescription management and ordering of pharmaceuticals from 3rd party companies in a timely manner according to need.

Ø  To prioritise ordering according to deadlines.

Ø  To complete complex invoicing queries and be able to resolve problems using JAC and processing credits were necessary.

Ø  To ensure supply issues are escalated in a timely way to the Assistant Team Leader.

Ø  To initiate the ordering of urgent pharmaceuticals via the homecare companies to ensure that patients do not run out of supplies.

Ø  Ensure that all prescriptions processed have funding in place by checking the Bluteq system.

Ø  Investigate homecare monthly company statements and any discrepancies, queries or outstanding issues are followed up with the homecare company.

Ø  When necessary liaise with the Trust Finance Department if any invoicing errors or issues arise.

Ø  Ensure that a high level of communication is made between Specialist Nurses, Consultants, secretaries, homecare companies and patients and other pharmacy colleagues Trust wide. 

Ø  To cascade important sometimes complex availability information to Specialist Nurses and Consultants to provide an efficient on-going service to patients.

Ø  To follow all standard operating procedures and policies. 

Ø  Ensure that the homecare archiving is stored appropriately.

Ø  Check the homecare email regularly and deal with any queries, escalating to the Assistant Team Leader when necessary.

Ø  To receive training or guidance from the Assistant Team Leader when required. 

Ø  To provide training and support new Homecare Clerks to ensure staff development and competency.

Ø  To propose any changes to working practise or procedure to improve the efficiency of own working area.

Ø  To participate in the implementation of homecare company portals.

Ø  To ensure filing, photocopying, sorting of mail and other general office duties are completed in a timely way.

Ø  To partake in the reporting of Pharmacy Trust KPIs (Key Performance Indicators) in liaison with the Assistant Team Leader

Ø  To assist the Assistant Team Leader in any other relevant duties associated with ordering and invoicing and office duties as appropriate to grade.

Ø  To deputise for the Assistant Team Leader in line with experience, knowledge and grade.

Ø  To assist the Assistant Team Leader and Team Leader in the management and implementation of new drug contract changes on the pharmacy systems.
