Job overview
We manage the neurophysiology department (in charge with different investigation- Nerve conduction studies, electrocephalogram scans etc.), the acute neurology ward and the neurorehabilitation ward, and we provide outpatients services across East Kent. You will be working at Kent and Canterbury Hospital within the Neurophysiology Department.
Being able to make sound, independent decisions whilst coping with a demanding workload and faced with what can appear to be conflicting priorities.
Main duties of the job
Comprehensive administrative support for neurophysiology and Neurology services inclusive of triage and booking process
Reception Duties for neurophysiology clinics and support for the neurophysiology department with all admin responsibilities
Work in a team-based service providing support for each other and ensuring continuity of the service.
Managing clinical attachment and honorary contracts within the department.
Act as first point of contact on behalf of the Trust and deal effectively and courteously with all enquiries from GPs patients, other departments within the Trust and all other departments.
Attend meetings as requested, taking minutes as appropriate. Maintenance of stationery and office supplies.
Maintain timely and accurate registering of all referrals onto the service bespoke Superbase IT system.
Ensure the timely and accurate scheduling of appointments.
Organise own work schedule, adapt the schedule as required to meet commitments to others within the agreed timescales and, where this is not achievable, give notification promptly with reasons to line manager
Provide support to other members of the admin team and cross-cover during periods of annual or sick leave as required
Opening of post, prioritising and passing on as appropriately.
Process referral letters ensuring the consultant assesses these for urgency.
Make appointments as appropriate, in line with government and local targets.

Essential criteria
- Computer literate including Word and Excel and use of software packages
- GCSE in Maths and English or Equivalent
- NVQ Level 2, RSA level 3 or equivalent
Desirable criteria
- Previous NHS experience

- Experience of a range of secretarial procedures and practices with a base level of theoretical knowledge
- Experience of working for and within a team
- Advanced keyboard skills
- Audio typing to 50 wpm minimum
- Data entry, text processing, storage of data, numeracy, accuracy and attention to detail
- Excellent organisational skills
- Ability to work without supervision

- Previous experience working within a busy administrative environment
