Job overview
Please note: at this stage, the role is open only to colleagues currently employed within Kent and Medway NHS Trusts and the Kent and Medway Integrated Care Board (ICB).
As a Facilities Officer you will line manage for House Keeping staff who work varying shifts from 07:00 am – 10:00 am and 14 :30pm -19:30 pm across 9 sites consisting of Out- Patient Admin buildings with clinics, 3 x 10 bed Rehabilitation homes all within the East Directorate only, supporting the management of soft FM contracts, a working Knowledge of Health & Safety, Fire Regulations & Trust Policies, including HR, Waste Regulations, NHS Cleaning Standards 2025, Infection Control and Sustainability.
You will act as a point of contact and maintain excellent working relationships with all stake holders, service managers, matrons, general managers, external contractors and colleagues.
The role will support our patients utilising our services within our properties and you will provide service improvements and help us live our values every day.
The shift patterns will vary based on business need, across the week – Monday to Friday.
Main duties of the job
- Visit all sites within the remit once a month to check on all staff’s health and well-being, maintain good communication skills via telephone, emails and face to face.
- Manage your team including MAPS. 1-2-1’s, annual appraisals, annual leave, sickness and disciplinary procedures.
- Completing annual risk assessment reviews inside the directed timeframes internal and external Workplace Check lists and report back any new findings, ensuring compliance is being met at all times
- Attend monthly meetings with the Facilities teams and the Wider Senior Management team, meeting, and assisting with any queries or concerns raised.
- Remain in the annual financial budgets allocated per site and raise concerns identified.
- Maintain and update MICAD for all of the directorate compliance reporting.

Detailed job description and main responsibilities
- Supervision of House Keeping Staff, whilst ensuring our sites are cleaned to the required standard within the National Cleaning Standards 2025, attend cleaning and efficacy audits for your sites.
- Attend Trust Facilities/Wider Senior Management Team, Building User Group, Green Champion Meetings on a monthly basis.
- Assist Estates and Capitol Planning Team and attend meetings for update on our sites to ensure all staff are aware and assist where necessary
- Attend Fire Risk Assessments for your sites annually
- Maintain excellent communication for all Service Managers General Managers, Matrons, Service Leads for your sites.
- Assist External Contractors with our sites and access as and when required
- Maintain communication and address any financial findings to our Finance and Procurement colleagues, Also look into saving money across our sites.

Training and Qualifications
Essential criteria
- National General Certificate in Occupational Safety and Health NEBOSH, NVQ or equivalent
Experience
Essential criteria
- Previous experience in a supervisory role
- Undertaking Health and Safety Audits
- Use of TEAMs, and other Microsoft packages
- Risk Management experience
Knowledge and Skills
Essential criteria
- Excellent written communication skills
- Manual Handling Risk Assessments Training
Desirable criteria
- Working knowledge of MICAD (CAFM)

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
