People Team Assistant (Human Resources)
Opportunity available to study towards a CIPD qualification
Monday – Friday, 0900 - 1700
Based at Kent and Canterbury Hospital
Up to £22,500 per annum
Providing comprehensive administrative support to the People Team. The main duties will include managing the People team email inbox and processing all employee related forms and information.
This varied role will include dealing with employee queries, assisting with the on-boarding of new employees, providing support to the wider People/HR team, assisting with scheduling and minuting meetings, maintaining employee records as well as undertaking and supporting on other HR projects that may be taking place.
Provide administrative support to assist managers and employees on a range of HR matters, including:
- pay, terms and conditions
- policies and procedures
- training & appraisals
Carry out administration tasks including but not limited to the updating and maintenance of relevant HR systems and databases, generating letters / variation to contracts, taking notes / actions of meetings and the setting up of meetings / hearings.
Manage the People Team mailbox including dealing with documentation queries and allocating all other queries to the relevant People team members.
Provide high quality systems administration for the People Team. Being the Superuser and main point of contact for the team, including managing the rosters, annual leave and any other enhancements.
Conduct and collate HR documentation, audits and projects where appropriate and to provide administrative support to the staff partnership arrangements.
Set up and maintain co-ordination of office functions including appropriate filing and case management systems.
Organise own work schedule and work to agreed timescales.
Provide cover and support the Talent team (recruitment).
This is a key role within the People Team, supporting the People Team Advisors to provide a first class service to the business.
The ideal candidate will have:
- Previous experience in a similar role within a Human Resources function
- Strong internal drive & enthusiasm and be a supportive team player
- Problem solving skills, be highly organised and have strong attention to detail
- Excellent communication and customer service skills
- IT skills (to include all Microsoft packages) and good keyboard/typing skills
- Exceptional interpersonal skills
- The ability to use own initiative and work unsupervised
- Good understanding and knowledge of data protection
- Knowledge and experience of HR systems and procedures
- A Level education or equivalent
