Job overview

Applications are invited for the role of Medical Education Administrator at Darent Valley Hospital.  The post holder will fulfil a key administration role in supporting the Medical Education Department in the delivery of high quality education and support to the doctors within Dartford and Gravesham NHS Trust. Candidates should have a knowledge of Microsoft Office including Word, Excel, Outlook and PowerPoint, have experience of diary management and good written and verbal communication skills, which will be tested at interview. The ability to work under pressure with minimum supervision, maintaining attention to detail is required.

Working as an integral member of the Medical Education Team, the post holder will assist with provide daily support to the Education Team, they will take responsibility for the reception duties and be the first point of contact for all visitors.

Main duties of the job

The post holder will provide a full secretarial service to the Director of Medical Education and provide support to the wider Medical Education Department including Clinical Tutor, Medical Education Manager and the wider Medical Education Team.

Detailed job description and main responsibilities

Core Responsibilities:

Be the first point of contact for the Medical Education Department and take responsibility for the reception duties

Provide an efficient, comprehensive secretarial and administrative support to the Director of Medical Education and the Medical Education Team.

Manage correspondence and telephone communications in a timely and efficient way and at all times with high standards of sensitivity and confidentiality.

Maintain and update the DME electronic calendar

Ensuring regular meetings are planned well in advance and all papers are available in a timely manner.

Arrange and coordinate 1:1s and the programme of annual educational appraisals for College Tutors, Specialty Tutors, Programme Directors and Faculty Leads.

Assist in the production of letters, reports and documentation relating to all aspects of Medical Education

Support meetings, committees and processes including taking minutes and disseminating papers to appropriate colleagues.

Responsible for the ordering of goods and equipment as requested.

Organise meetings and educational activity, assisting with the co-ordination, production and circulation of agendas and papers e.g. Local Education Board (LEB), Local Faculty Groups (LFGs), including production of reports for LFG meetings

Person specification

Education and Training

Essential criteria
  • GCSEs at Grade C or above in English and Mathematics.
  • NVQ 3 or equivalent experience in related area
  • RSA Level 3 typing or equivalent
  • Evidence of CPD
Desirable criteria
  • IT qualification such as ECDL

Knowledge and Skills

Essential criteria
  • Excellent communication skills both verbal and written
  • Ability to plan work and multi-task.
  • Advanced IT skills with a working knowledge of Microsoft Word, Excel and Outlook.
  • Ability to plan and prioritise own workload.
  • Able to use and maintain databases
  • Able to work autonomously or as part of a team
Desirable criteria
  • Able to interpret data/information and produce briefing papers relating to the outcomes.
  • Able to use AV equipment and understand other clinical equipment
  • Minute taking skills

Experience

Essential criteria
  • Previous administration experience in a busy office
  • Experience of coordinating events and/or meetings
Desirable criteria
  • Previous NHS administration experience
  • Experience of diary management
  • Experience of the recording or management of financial spending
