Job overview

An opportunity has arisen for a well-organised individual to join our North & West Kent Rehabilitation Team as an Administrator.

This post will be a flexible resource to support the inpatient & community rehab service. You will be working as part of a small admin team, based in Maidstone, supporting the wider Clinical Team.

Applicants should be educated to NVQ level 3 (or equiv.), have a GCSE (A-C) in Maths & English (or equiv.), and have experience of working in an admin role.

We are looking for an individual who uses their own initiative, is able to work unsupervised, can prioritise their workload to meet deadlines, all whilst keeping quality & attention to detail.

You’ll have strong customer service skills, communicating well with a range of people & be a good team player.

You’ll have good working knowledge of Microsoft Office packages, including maintaining spreadsheets, as well as excellent keyboard skills to minute take / audio type.

Previous experience within the NHS is desirable.

Main duties of the job

The post will be a flexible resource providing admin support to the inpatient & community rehabilitation service across North & West Kent.

The varied role will include:

  • Managing admin email inboxes
  • Arranging various meetings, preparing agendas, and taking meeting minutes.
  • Processing referrals and using the patient record system RIO (training provided).
  • Taking phone calls from staff, patients & carers.
  • Produce and send routine letters.
  • Typing letters & reports via BigHand (audio).
  • Maintaining spreadsheets.
  • Ordering of stationery & other items as required via SBS (training provided).
  • Maintaining of HR & personnel documentation.
  • Photocopying and scanning.
  • Preparation of standard and non-standard reports on activity, basic statistics.
  • Any other administrative duties requested. This is not an exhaustive list and will adapt to meet the needs of the service.
