Job overview

An opportunity has arisen for an person with admin experience to  join the well established  Orthotic team here at East Lancashire Teaching Hospitals NHS Trust. 

The successful applicant will work as a member of the orthotic team providing clinical and administrative support for clinicians and assistant staff.

Every patient we treat will require an orthoses (orthotic device) such as footwear, braces or collars, the clinical support worker is crucial in sending measurements, casts or impression boxes to the manufacturer, raising orders, receipting goods and organising appointments and collections.

To primarily assist with the smooth running of clinical services. This will include stock management, servicing of equipment and practical skills, setting up clinics/patient groups, infection control, storeroom management, daily management of patient information, ordering, data inputting and retrieving patient information on relevant electronic patient systems .

Administrative tasks will include photocopying, filing, processing correspondence, dealing with staff and patient enquires, arranging appointments, reception duties, receiving prescription charges, invoice management etc.

The service operating hours are Monday to Friday, 8.30am to 4.30pm and the service is located at Accrington Pals Health Centre, Paradise Street, Accrington.

Main duties of the job

The job requires use of different computer systems which requires a level of digital literacy. You will be liaising with patients face to face and on the phone and as such, a helpful, courteous and calm manner is necessary.

The post holder will be trained to become skilled in undertaking different tasks.  The desired attributes for the post include the ability to learn, working in a busy environment, ability to flex between tasks and support colleagues.

The Orthotics Department provides a service to patients across East Lancashire and is  based at Accrington PALS. 

Many of patients we serve will require orthotic treatment long term, the treatment they receive can make such a difference to their lives which makes this job a rewarding one. It can also be demanding due to the pace of work required, an ability to manage and prioritise busy workload is essential.

Main duties include reception where you will meet and greet patients, making appointments and ensuring equipment is ready for each clinic, Ordering and processing of payments and goods is a large part of this post. You will need to be able to demonstrate accurate filing and office management practices.

The successful candidate will need to have good IT skills with the ability to work in Microsoft office programmes and other patient systems and databases. You will need to be friendly, helpful and demonstrate a professional attitude.

The post requires customer care skills as the post holder will often be the first point of contact for the department.

Detailed job description and main responsibilities

 Responsible for administrative tasks such as monitoring stock levels including maintenance, ordering stock and bespoke equipment for patients, raising orders and sending items to manufacturers.

Receive and process deliveries and link with appointments with orthotists and wider MDT.

Receive payments for chargeable prescription items

Management of referrals, opt ins, arranging appointments. Phone patients to arrange collection of goods.

 Invoice management- cross reference invoices with orders, verify and send invoices for authorisation and ensure recorded on patient record.

 Reception duties, checking patients in and taking phone calls.

 Maintains treatment areas and equipment used to an appropriate standard in accordance with health and safety, infection control and other relevant guidance.

 Preparing and supporting the environment in preparation for meetings and training.

 Responsible for supporting clinical services for example, clinic preparation including arranging transport of goods to other sites.

Inputting or collating data, as requested, for service evaluation purposes.

 Undertaking of general administrative duties to support the clinical teams.

Support the registered clinician/assistant in the delivery of assessment and treatment.

Support the collection of patient experience feedback.

Arranging interpreters as required and booking patient transport where required.

Qualifications

Essential criteria
  • GCSE English and Maths at Grade 4-9’ or above or equivalent
Desirable criteria
  • ECDL
  • Good knowledge of patient administration systems i.e. PAS, Patient Centre, OPAS etc

Experience

Essential criteria
  • Experience of working in administration role
  • Experience of working in a customer care environment.
  • Experience of working within a team.
  • Proficient in the used of Mircosoft Office including, Word, Excel, Outlook
  • Able to work unsupervised for short to medium periods of time.
Desirable criteria
  • Experience in a similar role with knowledge of referral to booking/patient related administration systems and processes.
  • Previous experience of PAS, Patient Centre, OPAS
  • Experience of electronic appointment booking.
  • Experience of ENVOY
