Job overview
To support the management of the Governance / Revalidation of the Governance reports, Structured Judgement Review process and on-going service of the ELHT Trust Risk Management systems (Datix Web and Datix Rich Client) across all modules used within the Trust which includes ca. 30 record types.
Main duties of the job
Administer the Structured Judgement Review (SJR) admin functions whilst liaising with senior clinicians, Divisional leads and attend meetings.
Support the Datix Manager to administer the Datix Web & Rich Client systems.
Generate Doctors Revalidation reports for their appraisal and revalidation with the General Medical Council.

Detailed job description and main responsibilities
Assist with the redesign of Consultants Revalidation Governance reports with the aim of making the process more informative, relevant and robust. Thereafter, lead on the ongoing management of the Governance Report process by providing confidential information for clinician’s appraisals from the Datix Web & Rich Client systems whilst maintaining high levels of confidentiality at all times and handling such information sensitively.
Administer the Structured Judgement Review (SJR) admin functions to include but not limited to record allocation, patient record tracking, Dashboard management, liaising with senior clinicians, Divisional leads and attend meetings.
Effectively communicate with all staff groups across the organisation in order to support optimal use of Datix Web & Rich Client.
Staff the Datix Web ‘help desk’ phone line and email inbox, ensuring that queries are dealt with and resolved as soon as possible, escalating unresolved queries to the Datix Manager. Where appropriate, responses will be sought from relevant colleagues in order to support the resolution of the query.
Provide support to ensure the continuity of the Datix Web & Rich Client systems, involving IT Services and Datix support service where required in the absence of the Datix Manager.
Work with the Datix Manager to maintain Datix Web & Rich Client integrity for the Trust, by:
a. Performing audits to ensure users have the correct level of access
b. Setting up new user accounts
c. Ending access for expired/dormant accounts
d. Unlocking user accounts due to password related issues
e. Assisting with the management of access privileges for current users
f. Merging duplicate contacts/records
Support data cleansing of Datix Web information in order that accurate trust analysis occurs within the sphere of responsibility, reporting issues to the Datix Manager. This includes the feedback provided to reporters.
Provide support in building, maintaining and developing Dashboard Trackers.
Support the Datix Manager in providing face to face training to staff across the organisation.
Prioritise workload and adapt to changing situations when the need arises.
To assist the Datix Manager and Datix Administrator activity relating to the development, implementation and ongoing monitoring of all the modules of the Datix risk management system.
Work closely with divisional clinical and non-clinical staff, providing advice on Datix and leading work as required to support effective divisional use of the Datix system.
To assist in collating data in response to requests under the Freedom of Information Act,
handling information in line with data protection guidance and scrutinizing this data to ensure it is appropriate for external release before submission.
Assist with producing Datix User Guides to assist staff with their use of the system.
Meeting administration such as creating agendas and minute taking etc
Complete comprehensive data search reports across the Datix modules and assist in the
development of reports to be supplied on a regular basis including to the trust committees.

Essential criteria
- Excellent typing / keyboard skills
- ECDL or equivalent
- GCSE in English and Mathematics Grace C/4 or equivalent qualification
